How do I insert a pause in a fax number being dialled?

Use the & symbol in the fax number wherever you want a pause (of approximately 1 second per &) to occur during the dialling sequence.

Please note though that some fax machines will ignore the & and not pause during dialling.

Running P3fax devices on different workstations

P3fax devices do not all have to run on the central server. Modems, fax cards, MFP's etc can be connected to different workstations throughout your company and company's sites regardless of physical location. To run a device on a different workstation all you need to do is download the Add Device software from the Devices folder's toolbar. The workstation must also be able to connect to the Scheduler and Image Server that is running on the central server. Due to P3fax using TCP/IP (internet) to connect the Image Server and Scheduler, these workstations no longer have to run on the same LAN as the central server.

Please see appendix B of the Quick Start Guide for step by step procedure for installing a device.

Non-Local Devices

P3fax 1.0.2 allows you to run a device that is not located on your LAN – as long as the computer connected to the device has a TCP/IP link to and from the Scheduler this computer/device can be located anywhere.

One of the last things the Find Device wizard used to create new P3fax devices does is search the LAN for a P3fax scheduler. If none or more than one P3fax scheduler is found the following dialog will appear:

To connect to a scheduler not located on your LAN type in the IP or Hostname into the Hostname input box within the Manual Setup section and the Port the scheduler is running onto in the Port input box (default: 7654). When you click OK the device wizard will check a connection can be made to the scheduler and report an error if this has not been possible. Once completed, as long as the TCP/IP connection between the PC where the device is connected and the P3fax scheduler PC is established, the device can be used in the same way as any connected to same LAN as the P3fax scheduler.

New Network Folders

P3fax 1.0.2 includes network folders; in Unimessage Pro network folders were viewable by all users but only editable by Administrators or Supervisors. This is different in P3fax 1.0.2 where the creator chooses who can view a network folder by selecting user names from the list (holding ctrl while clicking on the name to select multiple users). All these users, regardless of their P3fax privilege level, will have full access to the folder (view, reply, forward, delete).

Each network folder has an Owner setting, this controls which P3fax user is allowed to download messages into their mail client. Only one user per shared folder can download messages from the shared folder. If the user removes the message from the server while downloading it to their mail client then no other P3fax users will be able to view the message via the shared P3fax folder.

P3fax routing rules can be used to automatically route messages into shared folders visible to the P3fax user defining the routing rule.

Users can only use certain devices

P3fax 1.0.2 includes the option for administrators to restrict users to using a certain device or a selection of devices. When a user is created or edited in addition to the previous properties version 1.0.2 shows the setting Default Device Mask. A blank setting means the user will be able to use all of the devices set up on the system, to restrict the devices used to send fax messages for this user type the name of the device into this input box use. To use a selection of devices use the * wild card, for example, to restrict the user to any device starting with “fax” (meaning that could use fax1, fax2 and faxmodem) type fax.

By default each user can edit this option themselves by clicking on their name in the users list. To prevent users from changing this setting, click on the System Settings menu item within the Admin section. Change the Allow users to edit their default device mask option to No and click Save.

How to I get my P3fax to update (refresh) lists automatically?

Due to the static nature of HTML web pages P3fax's lists do not update automatically like in previous versions of our fax software. You can refresh a list manually by clicking the Refresh button on the folder?Äôs toolbar or by pressing F5 on your keyboard. If you would like this to happen automatically after a set period of time, click on the Options menu item, change Automatically refresh display from Never to the time period you desire then click Save.

How Do I Scan a Document with P3fax?

P3fax web interface does not have a TWAIN interface, to scan a document you first need to download the P3console add on which is included with your P3fax installation.

Click on the Client menu option within the Setup menu box, tick Install P3fax console and printer then click Download and Install Components. You may download the EXE file or run from its current location.

Once installed P3console accept images from any installed TWAIN compatible scanner, you can get help within P3console by pressing F1 once it has loaded.

MAPI VS P3fax Server

With P3console you can submit messages to P3fax via your web client (MAPI) or directly to the P3fax Server, selecting between the two methods by selecting the Send tab with in Preferences dialogue.

Using MAPI will provide you with access to your mail client?Äôs phonebook. Using P3fax server will provide you with access to the P3fax?Äôs LDAP phonebook also allowing you to type contact names into embedded commands.

New Message Dialogue

When a message is submitted which does not have enough details to be sent automatically P3console will display a new message dialog with image attached requesting the missing information from the user. If you use MAPI client to send your messages your familiar mail clients new message dialog will be displayed complete with extra functionality such as spell checkers, phonebooks etc. If you are using P3fax server P3console will display its own new message dialog for you fill in your own details.

Fax Shot Yield

When creating a fax shot with many thousands of faxes we recommend that you use a direct connection to p3fax server opposed to MAPI. Sending messages of this number through your main client can cause your mail client difficulty with the volume of messages depending on the client you use. Only consider using MAPI for fax shots when creating less then 500 jobs for greater then a 500 or if your mail client appears to be struggling use P3fax server.

Firewall Checklist

P3fax uses TCP/IP to communicate between computer's and devices, this type of communication can be blocked by your computers firewall. Blocking P3fax's components can cause P3fax not to function properly.

None Prompted items:

Web Server

During the installation you may have been asked which port (if you selected custom install) you would like it to run the server on. The default port is 3080. Before other users are able browse the web interface from other computers you must unblock this port in your firewall. It is common for you not to be prompted about this automatically by your firewall.

LDAP Phonebook

The P3fax phonebook is based on the OpenLDAP standard. LDAP can be used by many other applications and not just P3fax. For example you can set up Outlook to use P3fax's phonebook amongst other applications. P3console will connect to LDAP phonebook to look up contact names placed in embedded commands. If you wish users to have access to the P3fax phonebook through other methods then the web interface to you need to unblock port 389 from your firewall.

Prompted items:

At the end of the installation you firewall may display a prompt for many of the P3fax applications. This list is based prompts received by Windows XP SP2 firewall.

P3group

This application runs in the back ground collecting up the P3fax application showing them in one icon in the system tray.

SchedX Module

The beating heart of the P3fax system, runs on the port (default 7654) you selected during the install. Everything connects to this, P3console, devices, web server etc. it is necessary for ensure this application is unblocked for these items to connect to from other computers.

UniPortal Module

This application has two functions, it is the POP3 and SMTP server for P3fax, which allows people to send and receive messages from other applications from other computers. Unblocking this is also necessary for people to print capture from other computers.

Secondly this is device driver used to connect to you network (LAN connected) MFP's.

Image Server

Runs on port 4004 and needs to be able to connect to the scheduler, this program is responsible for converting all images in the requested format such as fax image. If the image server is running locally to scheduler there is no need to unblock item.

Passing details of the reception/transmisison to programs via User Routing Rules

When you run a program, such as UniSave, using a System Routing Rule and specify "*" as the command line parameter a copy of the Scheduler's record associated with the message (which includes details fo the reception/transmission) is automatically passed along with the fax file.

When running a program via a User Routing Rule the Scheduler record is not normally passed with the fax file to the rule relates. To pass the Scheduler record with the fax file you must specify the following in the "Command-line parameters" field for the User Routing Rule:

* /RECORD=*(record)

Transmissions fail with "Required resolution is not supported by remote fax"

Cause

This happens when the fax device you are trying to send to does not support the resolution in which the fax you are sending was created. This happens most often when you are using high resolutions such as 300x300 dpi and 400x400 dpi.

Solution

Re-submit the fax using a different (or lower) resolution.

To change the resolution of your faxes, display Properties (and then Advanced if using Windows 2000, XP or Server 2003) for the Unimessage Pro printer and select another (lower) resolution then print the document to the Unimessage Pro printer again to create a replacement message.

Windows reports it can't start or has problems starting 16-bit programs

There are a couple of potential causes for this issue, depending on the exact wording of the message reported by Windows:

  1. If the message displayed mentions AUTOEXEC.NT or CONFIG.NT as in the following examples:
  2. 16-bit MS-DOS Subsystem
    C:\Winnt\System32\config.nt The system file is not suitable for running MS-DOS and Microsoft Windows applications. Choose 'Close' to terminate the application.

    16-bit MS-DOS Subsystem
    C:\Windows\System32\Autoexec.nt The system file is not suitable for running MS-DOS and Microsoft Windows applications. Choose 'Close' to terminate the application.

    then, without providing any warranty, the following articles explain how to recover AUTOEXEC.NT and/or CONFIG.NT:

    • One user has reported that, after installing Service Pack 2 for Windows XP, each time they restarted Windows the AUTOEXEC.NT file was deleted or corrupted. To avoid having to repeatedly recover it they set the "Read-only" property for the AUTOEXEC.NT file in the System32 folder via the file's Properties dialog. To display the AUTOEXEC.NT file's properties dialog right-click on the file and select Properties, you should then see a Read-only check box that you can tick before clicking the OK button to set the read-only property for the file.

  3. If the message displayed reads as follows:
  4. 16 bit MS-DOS Subsystem
    XXXX. An installable Virtual Device Driver failed DLL initialization. Choose 'Close' to terminate the application.
    16 bit MS-DOS Subsystem
    SYSTEM\CurrentControlSet\Control\VirtualDeviceDrivers. VDD. Virtual Device Driver format in the registry is invalid. Choose 'Close' to terminate the application.

    Then, without providing any warranty, see the following article for information and directions:

Class 1 fax device driver reports "No dial tone detected"

If you get the error "No dial tone detected" when using a class 1 fax device, but the fax device works correctly with other applications, you can select to run the class 1 fax device without using dial tone detection. Often this will enable the Unimessage Pro system to run using this device with no further errors.

This setting can be changed via the "all settings" listing for the Class 1 fax device as described below.

  1. If the "Welcome to Unimessage Pro" screen appears, click "Browse Folders".
  2. In Unimessage Pro, open the Devices folder by selecting it from the left-hand folder tree.
  3. Right-click on the appropriate devicename in the Devices folder and select Properties.
  4. Click the All settings button.
  5. Scroll the list of All settings to locate the Enable dial tone detection parameter, then click the setting for this parameter to change it to No.
  6. Click OK to close the dialog.

If the device is already logged on, use the Log off button on the folder's toolbar to log it off then the start button to restart the device - changes made to the device's settings are activated when the device next starts.

CAUTION: Only make changes if you are sure. Improper settings can cause unpredictable behaviour. Changes will be saved immediately.

Sending email messages from Unimessage Pro via MS Exchange's SMTP server

By default SMTP server functions provided by Microsoft Exchange Server require email clients to log onto the SMTP server using (E)SMTP authentication functions before the email "client" is permitted to send email messages via MS Exchange to domains outside the MS Exchange server. When sending email messages from Unimessage Pro using MS Exchange's SMTP server function the Unimessage Pro email device driver is, from MS Exchange's perspective, effectively the email "client".

Unimessage Pro does not support (E)SMTP authentication, so email messages that you attempt to send from Unimessage Pro via MS Exchange to external email domains would fail with "An email address (recipient, sender or reply to) was invalid".

If you cannot send email messages to any addresses from Unimessage Pro, including to other addreses within your own email domain (the portion after the "@" symbol in the email address) then check that you have correctly configured Unimessage Pro to be able to send email messages, see article TUP0053.

If the problem persists and occurs only when sending email messages to addresses outside of the email domain hosted by MS Exchange, e.g. to other companies, then the problem is probably that MS Exchange's server needs to be configured to allow the Unimessage Pro email device driver to relay to external email addresses - this can be confirmed by enabling Unimessage Pro's email device driver logging and looking in the .LOG files for errors reading "550 5.7.1 Unable to relay for...". Since Unimessage Pro doesn't support (E)SMTP authentication the MS Exchange SMTP server must be configured to allow connections from the IP address of the PC where the Unimessage Pro email device driver is running to relay to external email addresses. The exact procedure to configure the MS Exchange Server may vary and is best done by the MS Exchange Administrator but the following may, without warranty, provide a guide:

  1. Start Exchange System Manager.
  2. Expand the Organization name object.
  3. Expand the Servers node.
  4. Expand the Server name object of the server on which you want to allow mail relay.
  5. Expand the Protocols node.
  6. Expand the SMTP node.
  7. Right-click the virtual SMTP server on which you want to allow mail relay.
  8. Click Properties.
  9. Click the Access tab.
  10. Click Relay (or Relaying).
  11. In the Relay Restriction dialog box, select the Only the list below option and click the Add button.
  12. Enter the IP address of the PC where Unimessage Pro's email device driver will be running and click the OK button or otherwise confirm the entry.
  13. On the Relay Restrictions dialog box, click OK.
  14. Click Apply, and then click OK in the Default SMTP Virtual Server Properties dialog box.

Most likely, after making the above changes you will need to restart MS Exchange or portions thereof.

Windows XP reports AUTOEXEC.NT is not suitable for running MS-DOS and Microsoft Windows applications

Some users have reported that Windows XP shows a message reading:

C:\Windows\System32\Autoexec.nt The system file is not suitable for running MS-DOS and Microsoft Windows applications. Choose 'Close' to terminate the application.

When they attempt to install or start Unimessage Pro. Sometimes the error appears to start occurring after application of Windows XP Service Pack 2.

Microsoft explaining how to recover AUTOEXEC.NT (and CONFIG.NT and COMMAND.COM) in article 324767 in the Microsoft Knowledge Base.

One user reported that each time Windows XP was restarted it deleted the AUTOEXEC.NT file. To avoid having to recover it each time try setting the Read-only property for the file in the Windows\System32 folder as detailed below:

  1. If necessary, recover AUTOEXEC.NT as detailed in the above articles.
  2. Start Windows Explorer.
  3. Browse into the Windows\System32.
  4. Right-click on AUTOEXEC.NT and select Properties from the menu displayed.
  5. Tick the Read-only check box on the dialog displayed.
  6. Click the OK button to close the dialog and apply the changed read-only property.

"Please wait for a connection to the shared message store" displayed when starting Unimessage Pro

Assuming that the user has the "V2" Unimessage Pro message store (which has been included since Generic Unimessage Pro 1.0/5) then this can be displayed either:

  1. Because another Unimessage Pro user on the LAN has a folder/contact read from the shared (network folders) message store open that prevents the current user opening the folder.
    If a Unimessage Pro user elsewhere on the LAN is:
    • Importing to or exporting from the Network Phonebook;
    • has a Network Phonebook contact's properties dialog open;
    • adding an entry to the Network Phonebook;
    • selecting recipients of a new message from the network phonebook;
    • creating new network folders;
    • changing properties for network folders;
    • copying/moving message from/to a user created network folder.
    this will lock out other users until the action is completed.
    Try checking whether any other Unimessage Pro users are logged on and if so what they are doing. if they are accessing Network Folder items ask them to stop while you see if this releases the Unimessage Pro user showing the message.
  2. Because the shared message store has become corrupted.
    Try rebuilding the Unimessage Pro message store as explained in article SUP0147.
    If rebuilding the message store fails or doesn't resolve the problem then it may be necessary to re-initialise the shared (not the personal) message store, more information on this can be found on our website in article SUP0146.

No jobs created when print to Unimessage Pro printer or submit job via Gateway

If using Gateway, first check that your copy of Unimessage Pro includes support for the Gateway function as this is optional:

  • Start Unimessage Pro.
  • If the “Welcome to Unimessage Pro” screen appears, click “Browse Folders”.
  • Select the Help, About Unimessage Pro menu.
  • Select the Network tab.
  • Check that the Gateway option is ticked.

If the Gateway option is not ticked your copy of Unimessage Pro doesn’t include support for the Gateway function, contact your dealer, a Wordcraft reseller, Wordcraft or upgrade on-line to add support for the Gateway option.

If the Gateway function is included, or you are attempting to create a new job by printing a file that includes embedded commands to the Unimessage Pro printer…

Check if you are using the embedded command [[COVER=]] that you specify the full drive and path (in short form format) for the cover sheet.

For example:

[[COVER=C:\MYCOVER.FCS]] [[COVER=C:\PROGRA~1\UNIMES~1\MYCOVER.FCS]]

If Unimessage Pro cannot find a cover sheet specified by an embedded command it will not create the job to which the cover sheet relates.

Also, remember that the cover sheet you specify will only be used if Unimessage Pro has message text to show on the cover sheet, use the embedded command [[MESSAGE=…]] to specify up to one paragraph of text to be shown in the message are of the cover sheet.

Unimessage Pro reports "No device to handle data attachments" for a fax transmission

No device to handle data attachments means you have attached a file to an outbound fax message that cannot be sent by any fax device driver that is currently logged on.

Unimessage Pro's C1 fax device driver can sent data files attached to fax messages - as long as you are sending to a similarly capable PC-Fax receiving device. Other fax device drivers cannot send data files attached to fax messages.

Unimessage Pro can convert some image files (.BMP, .TIF, .PCX and .JPG) into fax pages - so these can be attached to outgoing fax transmissions using the Unimessage Pro "Insert, File" menu (or equivalents) and Unimessage Pro will convert them into black and white fax pages. But if you attach other types of files (such as .DOC) to an outgoing fax message the file has to be sent as a data attachment, which requires a Class 1 fax device driver and a compatible receiver.

Instead of attaching the .DOC (or other) file to the Unimessage Pro New Message open the original file in its associated application (e.g. open .DOC files in MS Word) and print it to the Unimessage Pro printer - this converts the file into a fax image. When the Unimessage Pro message editor window appears (with a shortcut in its file bar to the fax image version of the .DOC file) enter the fax number into the To field and click the Send button.

Using Unimessage Pro on Windows 2003 Server

The Unimessage Pro Scheduler, Class 1 fax device driver, Class 2 fax device driver and Email device driver can be used on Windows 2003 Server as normal as long as they are being used with MFPs/modems that connect via the PC's COM port. if the MFP connects via the PC's LPT port and uses COM<-->LPT redirector software provided with the MFP then check that a Windows 2003 Server compatible version of the COM<-->LPT redirector software is available. Do not use the CFP driver on Windows 2003 Server PCs.

The Unimessage Pro user component can be run on Windows 2003 Server PCs, but with the default Windows 2003 Server group policy settings in effect the Unimessage Pro printer will not be created. You can change the Windows 2003 Server group policy setting so that the Unimessage Pro printer is created as follows:

  1. Select Start, Run and type mmc and press ENTER.
  2. Select the File, Add/Remove Snap in menu.
  3. Click the Add button.
  4. Select Group Policy Object Editor from the list and click the Add button, a wizard screen will appear click the Finish button.
  5. Click the Close button to close the Add Standalone Snap-In dialog.
  6. Click the OK button on the Add/Remove Snap-In dialog.
  7. Now you will see Local Computer Policy listed in your console root window.
  8. Expand and select Local Computer Policy, Computer Configuration, Administrative Templates, Printers in the left-hand tree.
  9. With Printers selected in the left-hand tree the right-hand pane you will see:
  10. Disallow installation of printers using kernel-mode drivers
  11. Double click on this, select Disabled then click the OK button.
  12. Close Console.

Then, while logging into Windows 2003 Server with Administrator permissions, restart Unimessage Pro - the "Unimessage Pro" printer should be created.

How to I buy The Newwws?

You can upgrade your copy of The Newwws to the full version by purchasing a registration key number as follows:

  • Make sure that your copy of The Newwws is running.
  • Right click on The Newwws icon in the system tray (usually bottom right of your screen, by the Windows clock).
  • Click the Enable new features menu.
  • Presuming you have not already activated your copy of The Newwws by entering a registration key number the following Enable features for The Newwws dialog will appear:
    1. Click the Purchase registration key on-line button, highlighted with red and numbered 1 on the above screen shot.
    2. This will launch your Internet Browser and connect to the website from where you can buy your registration key number, it will also confirm how much the upgrade will cost. Follow the procedure as explained on the website

    3. Having purchased your 16 digit registration key number, return to the Enable features for The Newwws dialog and enter the registration key number into the 4 boxes, highlighted with yellow and numbered 2 on the above screen shot. Type the first 4 digits into the first box, the second 4 digits into the second box and so on.
    4. Click the OK button, highlighted with green and numbered 3 on the above screen shot.

After you do the above, The Newwws will contact our web server to confirm the registration key number - if you are running a Firewall you must allow this connection or The Newwws will not be able to validate the key number and the upgrade will not work. Once the number has been validated The Newwws' About The Newwws dialog (accessed via The Newwws' system tray icon) will show your key number and features supported.

Insufficient resources to open UniPad, Error hr=0x8008005, Server Execution Failed reported when starting a new message (revised 20040702)

First check that the problem is not resolved by closing other applications when using Unimessage Pro - perhaps your PC does have insufficient resources (e.g. RAM) to open Unimessage Pro new messages at the same time as many other applications are running.

Secondly, are you using Arabic Windows 2000/XP or have you installed Arabic (or other) Windows 2000/XP input language options? Unimessage Pro does not support these environments. We have found that if English is set as the default input language then this may resolve the problem of using Unimessage Pro in an English Windows 2000/XP environment - but it does not imply support for Arabic Windows or Arabic input languages/locales by Unimessage Pro.

To check or set the default input language, do the following:

  • On Windows XP
    • Click Start, Control Panel.
    • Click Regional and Language Options.
    • Select the Languages tab.
    • The Text Services and Input Languages dialog will now be shown.

    • The default input language is shown in the upper section, if not already selected try selecting English (or another European language) then click OK.

      If English isn't listed as an available default input language, click the Add button in the section below to add it and then select it as the default input language.

    • English will now be the default input language selected when any application starts.
    • You can switch to Arabic (or other input languages) using Windows XP's Language Bar or by using special keyboard key combinations - these are configured via the Language Bar and Key Settings buttons on the above mentioned Text Services and Input Languages dialog:

  • On Windows 2000
    • Click Start, Control Panel.
    • Click Regional Options.
    • Select the Input Locales tab.
    • The following dialog will now be shown.

    • The default input language is shown ticked in the upper section. if not already ticked try selecting English (or another European language) then click Set as default.

      If English isn't listed as an available default input language, click the Add button in the section below to add it and then select it as the default input locale.

    • English will now be the default input language selected when any application starts.
    • If the Enable indicator on taskbar option is ticked then Windows will show a two letter code indicating the current active input locale will appear in the Windows taskbar, by the clock.

      You can switch to Arabic (or other input languages) using special keyboard key combinations - these are configured via the Hot keys or input locales section in the lower section of the dialog:

      • You can assign a key combination to cycle through install input locales by selecting the Switch between input locales option then clicking the Change key sequence button.
      • You can assign a key combination to switch immediately to a specific input locale by selecting the appropriate Switch between locale name option then clicking the Change key sequence button.

Toshiba ImageVision2000, SmartLink2000 or Network Viewer reports "Invalid credentials for setup" when try to use device setup functions

Toshiba SmartLink2000/ImageVision2000 are based on Unimessage Pro but are optimised for use with Toshiba MFPs not supported by the Unimessage Pro product. All support for Toshiba SmartLink2000/ImageVision2000 should be obtained via the Toshiba supply channel, for support in the USA see Toshiba's website.

The following information is provided for information only:

If "Invalid credentials for setup" is reported when you attempt to use the software to configure (Setup) the LAN connected Toshiba MFP's Phonebook or general settings this is usually because the FTP user name and password defined on the MFP don't match the settings defined for the device driver in the software. See section 1.1.3 of the guide to configuring Toshiba LAN connected MFPs with Network Viewer, ImageVision2000 or SmartLink2000.

Why is "No device to handle Fax ID string" shown for a message in the Outbox?

This means that the fax transmission was submitted with a specific Fax ID defined that should be used in place of the Fax ID associated with the device driver or physical device but, though a fax device driver is currently logged on, no currently active fax device driver can override the default Fax ID with the one associated with this fax transmission.

In this case the fax transmission cannot be sent until either:

  • A fax device driver is started that can override the default Fax ID with one associated with an individual fax transmission
  • The Class 1 and Class 2/2.0 fax device drivers provided with Unimessage Pro can often (but not necessarily always) override the Fax ID.

  • Remove the job's override Fax ID so that the default can be used instead.
  • In Unimessage Pro:

    • Open the Outbox folder.
    • Double click the appropriate entry in the Outbox to reopen it in UniPad.
    • Select the UniPad File, Properties menu or click the Properties button on the UniPad toolbar to display UniPad's Properties dialog for the message.
    • Click the Sender tab.
    • Clear the Fax ID field on this dialog, an empty Fax ID means that the default Fax ID should be used.
    • Click the OK button.
    • Click the Send button to resubmit the revised version of the fax transmission to the Outbox replacing the original job.

Notes:

  • If you do not have a device capable of overriding the default Fax ID, check that no Fax ID is specified via the Unimessage Pro Setup, Send menu on the Sending dialog.

How do I create a fax file that I can later append to messages?

To convert page(s) into a .FAX file which you can then append to subsequent messages using, for example, the embedded APPEND= command, do the following:

  1. Print the page(s) you want to convert into a FAX file to the Unimessage Pro printer.
  2. When Unimessage Pro's message editor (UniPad) appears:
    • Click the shortcut corresponding to the pages you have just printed in the file bar at the bottom of the UniPad window - you should see an image of the first page printed to the Unimessage Pro printer.
    • The shortcut to click will normally be next to the "Message Details" shortcut.

    • Select the File, Save as menu.
    • On the Save as dialog:
      • Browse to the Explorer folder where you want to save the fax file.
      • Enter a suitable filename making sure to enter the .FAX filename, e.g. Filename.FAX
      • Click the Save button.
    • On the Save options dialog:
      • Select All from the Save what list.
      • Click the OK button.

How do I avoid the empty page if my printed page only includes embedded commands to append an existing FAX?

If you use Unimessage Pro to send an existing fax file to one or more fax numbers using embedded commands on an otherwise empty page printed to the Unimessage Pro printer, similar to the following:

    [[TO=DistList]] [[APPEND=C:Filename.FAX]] 

Then you will find that Unimessage Pro sends an empty page in front of the appended pages - this page contains what is left of the page you printed after the embedded commands are removed, i.e. an empty page!

Svenska Wordcraft found a way to avoid the blank page by using a different set of embedded commands:

    [[TO=DistList]] [[OVERLAY=C:Filename.FAX]] 

The above will overlay the specified FAX file onto the current page, but it will insert only the first page of the specified FAX file.

If the FAX file you want to send contains more than a further variation will help:

    [[TO=DistList]] [[OVERLAY=C:Filename.FAX]] [[APPEND=C:Filename.FAX,2-]] 

The special variation on the standard APPEND= command specifies the first page to be appended to the new message is the second page in the existing Filename.FAX file - the combination of the first page being overlaid onto the current page and the other pages being appended effectively produces a fax containing all the pages from the Filename.FAX file without the leading blank page.

In Unimessage Pro, how do I edit the properties of a device driver?

  • Start Unimessage Pro.
  • If the "Welcome to Unimessage Pro" screen appears, click "Browse Folders".
  • From the left-hand folder tree, select Devices to open the Devices folder in the right-hand pane.
  • Right-click on the appropriate device driver and select Open.
  • The device driver's Properties dialog will be displayed, review the settings on each of the tabs changing any as required.
  • Click OK to save the settings and close the dialog.
  • Use the Log out button (scissors) on the Devices folder's toolbar to log out the device.

How does an Administrator change another Unimessage Pro user's password?

  • Start Unimessage Pro, logging in as a Unimessage Pro user with Administrator access rights.
  • If the Welcome to Unimessage Pro screen appears, click Browse Folders.
  • From the left-hand Unimessage Pro folder tree select Users to open the Users folder in the right-hand pane.
  • Locate the appropriate Unimessage Pro user, right-click on it and select Open.

How do I halt an "In progress" transmission?

In Unimessage Pro:

  1. If the Welcome to Unimessage Pro screen appears, click Browse Folders.
  2. From the left-hand Unimessage Pro folder tree, either:
    • Select Outbox to open the Outbox folder in the right-hand pane showing those jobs submitted by the Unimessage Pro user you are currently logged in as that have not yet completed.
    • select Network Outbox to open the Network Outbox folder in the right-hand pane showing all jobs submitted that have not yet completed.
  3. Locate the appropriate job, then either:
    • Right-click on the job and select Interrupt.
    • Click on the job to select it then click the Stop button (hand) on the folder's toolbar.

Notes

You cannot interrupt jobs that are being sent with all types of fax drivers, typically those that upload to the fax machine's memory and then the fax machine relays the fax to the fax number.

Even if you interrupt a transmission being performed by a fax device driver that can be interrupted, for example the Class 1 fax device driver, then if the job is almost finished it may not be possible to interrupt it before it completes.

When you interrupt a job it's status will change to Interrupted while the scheduler asks the device driver to stop sending the message. If the interruption is successful the job's status will change to Hold with Interrupted by user in the Previous Error column. If a job cannot be interrupted it will complete and be removed from the Outbox folder as normal.

Sending more than one file as fax pages in a single fax transmission

When something is printed to the Unimessage Pro printer a separate job is created for the page(s) printed.

If you have several items, from one or more applications, that you would like to combine into a single transmission and you have applied all Unimessage Pro Service Packs available from the download page try the following:

  1. Start Unimessage Pro.
  2. Open ApplicationA with FileA1, print this to the "Unimessage Pro" printer.
  3. When the Unimessage Pro "New Message" dialog for the print capture appears, click the "Save" toolbar button or select the "File, Save" menu to save the capture message to Unimessage Pro's "Draft" folder.
    With earlier versions of Unimessage Pro it was necessary to view the print capture via the shortcut in the file bar at the bottom of the New Message then return to the "Message Details" view before clicking the "Save" button.
  4. Repeat steps (2) and (3) for all but the final file to be sent in the combined fax.
  5. Open then final FileB1 to be sent as part of this combined fax in ApplicationB, print this to the "Unimessage Pro" printer.
  6. Leaving the Unimessage Pro "New Message" dialog for the final print capture open:
    • Open the "Draft" folder in Unimessage Pro by clicking its entry in the "Personal Folders" branch of Unimessage Pro's left-hand folder tree.
    • Select the draft print capture messages saved previously in steps (2) and (3) above.
      Use Ctrl and/or Shift with left click to select multiple messages.
    • Drag the selected messages from the Drafts folder and drop them onto the final Unimessage Pro "New Message" dialog.
    The print captures associated with the previously saved draft messages are copied into the final new message.
  7. Complete the final new message, e.g. enter a fax number, and then click the "Send" button.
  8. Housekeeping: Delete the previously saved draft print capture entries from the Unimessage Pro "Draft" folder.

Transmissions fail with "Required data formats are not supported by remote fax"

When "Required data formats are not supported by remote fax" is reported this means that you have attached a data file to an outgoing fax transmission but the answering remote fax device cannot accept data files attached to fax messages.

Unimessage Pro, and some other PC-Fax applications, supports the ITU file-transfer-via-fax function "Document Transfer Mode" which allows any file to be sent as an attachment to a fax message so it is received as a copy of the original file and can be processed by the receiver as if the file had been sent on a disk or attached to an email.

Unimessage Pro can convert some image files (.BMP, .JPG, .TIF and .PCX) into fax pages - so these can be attached to outgoing fax transmissions using the Unimessage Pro "Insert, File" menu (or equivalents) and Unimessage Pro will convert them into black and white fax pages so any receiver can accept them (unless you are sending to a phonebook contact that you have already indicated can receive data file attachments to fax messages). If you attach any other file to an outgoing fax message it can only be sent as a Document Transfer Mode file attachment and these may fail with "Required data formats are not supported by remote fax".

Having encountered this error you can either:

  • Contact the company or person to whom you are attempting to send the fax to ask if they have another fax number that is answered by a fax device or, more likely, a PC-Fax application that can receive data files attached to fax messages then resend the message to this new number.
  • Open the original file in its normal application, e.g. open a .DOC file in Microsoft Word, then print the file to the Unimessage Pro printer so that it is converted into fax page(s) and then enter the fax number.
  • This sends a printed image of the original file - much as you might send a printed image of the file if you used a conventional fax machine to send the fax.

In Unimessage Pro, how do I suppress a dial preamble?

Any dial preamble associated with a device driver will normally be dialled before the fax number specified with an individual fax message. To suppress any dial preamble start the fax message's fax number with a "/" character.

Filtering received spam email and faxes in Unimessage Pro

Unimessage Pro User Routing Rules can be used to filter received faxes or emails from known sources. The Routing Rules can be set up to delete unwanted messages or move them into a different folder automatically, so that the faxes or emails aren't printed and your time isn't wasted reading them. This will not prevent your device from receiving the messages, but should save you time having to manually process them.

The process is as follows:

  1. Select the Setup, Routing Rules menu.
  2. Click the New button.
  3. Select When a message has been received, then click the Next button.
  4. Select either Fax or Email as appropriate, then click the Next button.
    If filtering faxes:
    • In the upper section select With given remote Fax ID, then in the lower section click the highlighted text given remote fax ID.
    • On the Match Fax ID dialog now displayed you can insert a list of known fax ID's that you do not want to receive faxes from.
      To enter a new Fax ID click the New (Insert) button - the first of the 4 buttons in the upper right corner - type the fax id and then press ENTER.
      Click the OK button to close the Match Fax ID dialog when all required fax IDs are defined.
    • Check the displayed list of fax IDs, then click the Next button.
    If filtering emails:
    • In the upper section select From person or any member of distribution list, then in the lower section click the highlighted text from person or any member of distribution.
    • On the Select messages from dialog either:
      • In the left-hand pane, select existing Phonebook contacts in the Personal phonebook or Network phonebook sections then click the Add -> button.
      • In the left-hand pane, select the Personal phonebook or Network phonebook section names and click the New button to create a new contact that you can then add as explained above.
      • Type an email address directly into the Recipient name field at the top then click the Add -> button.
      When all contacts and email address you want to filter have been selected, click the OK button.
    • Check the displayed list of contacts, then click the Next button.
  5. In the upper section of the What actions should be applied to the message page of the wizard, select the appropriate action:
    • Move it to given folder: Then, in the lower section, click the highlighted text given folder, browse to the appropriate folder then click the OK button.
    • Delete it.
    You might also like to select the Apply no further rules to it option so that no further rules are considered.
  6. Click the Finish button.
  7. On the Please enter a name for the rule page of the wizard, Fill in a name for the rule then click the Finish button.
  8. Click the OK button to close the Unimessage Pro Routing Rules dialog.

Notes

  • User Routing Rules are actioned by the Unimessage Pro user when a message arrives in, for receptions, their Received Items folder. So, the user routing rules described above will only take effect if a received fax is forwarded to the appropriate user via, for example, a System Routing Rule. System Routing Rules can be defined only by Unimessage Pro Administrator level users via the Setup, System Routing Rule menu.

How do I time delay a transmission using Unimessage Pro?

You can either:

  • In UniPad, the Unimessage Pro message editor:
    • Select the File, Properties menu or click the Message properties button on the UniPad toolbar.
    • Select the Time range tab.
    • Either:
      1. To send after a specific time on a specific date, select the Do not send before option then set the appropriate date and time.
      2. To expire a message if it has not been successfully sent by a specific time on a specific date, select the Do not send after option then set the appropriate date and time.
      3. To send a message in a specific time period but on any day, select the Send between option then set the appropriate times.
      4. The Send between option can be used to send a batch of faxes overnight by specifying, for example, between 18:00 and 07:00. Faxes will start sending at 18:00, at 07:00 the next day all such time delayed messages will pause until 18:00 is reached again when they will carry on where they left - this process repeats until all messages have either been sent successfully or reached their limit of automatic attempts.

      Options (a) and (b) above can be combined if required.

  • When printing to the Unimessage Pro printer, use the embedded [[TIME=]] command.

    Note: Some copies of Unimessage Pro supplied with fax machines do not support embedded commands.

How to restrict fax reception speeds with Class 2 Unimessage Pro device drivers

Edit the device configuration file manually

During installation of Unimessage Pro each device is assigned a name, 'devicename' hereafter. A device configuration file is created for the device in the main Unimessage Pro directory, this file is named devicename.DEV. The devicename.DEV file is a text file and can be edited using NotePad or any other Text Editor.

  • Open the appropriate devicename.DEV file using a text editor, e.g. Windows NotePad.
  • Find the [FAX] section and add the following line after it:
  • RX_SPEED = 1000 : 4800, 10

    Presuming that you want to restrict maximum reception speed to 4800 baud, edit this value as appropriate from the following range:

    33600, 31200, 28800, 26400, 24000, 21600, 19200, 16800, 14400, 12000, 12000, 9600, 7200, 4800, 2400

    The third parameter defines the minimum scan line lengths, possible values are:

    0, 5, 10, 20, 40

    The larger the number the longer it will take to receive the fax pages.

    The first number is not significant and should be left as "1000".

  • Save the file back to disk and restart the Unimessage Pro device.

How to restrict fax reception speeds with Class 1 Unimessage Pro device drivers

Use the Unimessage Pro All Settings dialog for the device

  • Start Unimessage Pro.
  • If the Welcome to Unimessage Pro screen appears, click Browse Folders.
  • In Unimessage Pro, open the Devices folder by selecting it from the left-hand folder tree.
  • Right-click on the appropriate devicename in the Devices folder and select Properties.
  • Click the All settings button.
  • Scroll the list of all settings button scroll the list to locate the Maximum reception speed parameter, then click the setting for this parameter to change it to the maximum speed you want the modem to receive faxes at.
  • Click OK to close the dialog.
  • If the device is already logged on, use the Log off button (scissors) on the Devices folder's toolbar to log it off then the Start button (green light) to restart the device - changes made to the device's settings are activated when the device next starts.

CAUTION: Only make changes if you are sure. Improper settings can cause unpredictable behaviour. Changes will be saved immediately.

Unimessage Pro shows numbers instead of words on the menu bar

If, instead of the normal Unimessage Pro menu bar:

File, Edit, View, Setup, System, Window, Help

you see a series of numbers prefixed by !:

!100, !200, !300, !400, !500, !600, !700

Try closing all folders open in Unimessage Pro by pressing Ctrl+F4 repeatedly.

If the problem persists after closing all folders, shutdown and restart Unimessage Pro.

How do I change the default print margins with Unimessage Pro Gateway?

The default left, right, top and bottom margins for fax pages are set via the Properties dialog for the Unimessage Pro Gateway PCL4 or Text Emulators.

To view the Unimessage Pro Gateway Emulator's Properties dialog:

  • Start Unimessage Pro Gateway.
  • Select the appropriate installed Emulator Module from the lower list.
  • Click the Properties button to the right.

Housekeeping: Configuring Unimessage Pro to automatically delete old messages

To configure Unimessage Pro to delete all or messages older than a selectable number of days in a specific folder when it starts:

  • Right-click the folder's name in the left-hand folder tree.
  • Select Properties.
  • Select the Advanced tab.
  • Tick the Delete contents at start up option.
  • Either:
    • Select the All items option to have all items in the folder deleted each time Unimessage Pro starts.
    • Select the Items older than a certain number of days option and then set the number of days to have all old items in the folder deleted each time Unimessage Pro starts.
  • Click the OK button.

British Telecom MultiJet 3000

All support, upgrades (to support network PC-Fax send and receive functions) and updates (including Windows XP support) for the software supplied with the BT MultiJet 3000 (AKA MJ3000) is supplied by BT and not Wordcraft. Part of the reason for this is because Wordcraft do not produce the printer driver and TWAIN scanner drivers.

How do I change the fax header printed at the top of each fax page sent with Unimessage Pro?

If Unimessage Pro controls the content of the fax header printed at the top of each fax page (typically it does this with most Class 1 and Class 2 compatible fax devices but with few CFP compatible fax devices) do the following:

  1. Start Unimessage Pro.
  2. If the "Welcome to Unimessage Pro" screen appears, click Browse Folders.
  3. From the left-hand Unimessage Pro folder tree select Devices to open the Devices folder in the right-hand pane.
  4. Locate your device, right-click on it and select Open.
  5. Select the Send tab.
  6. Edit the Fax Header text at the bottom of this page as required.
  7. Click OK to save the changes.

Before the changes will be used you must close and restart the Unimessage Pro device driver. This can be done either by completely shutting down and restarting Unimessage Pro or by selecting the device in the Devices folder then clicking the Log off (scissors) button on the folder toolbar to close the device then, after the device has closed, click the Start (green light) button to restart it.

How do I send messages to email addresses from other Windows applications?

Use Unimessage Pro's embedded TO= command to include the destination email address in the text printed to the Unimessage Pro printer.

e.g. [[TO=mail@example.com]]

The document printed to the Unimessage Pro printer will be converted into a .TIF image file and sent as an attachment to the email message to the specified email address.

The email message will be sent using the default email account for the Unimessage Pro user logged in on the PC where the document is printed to the Unimessage Pro printer.

For information on configuring Unimessage Pro to send and receive SMTP/POP3 email messages download "Unimessage Pro Email Setup Information" from the download page.

By default the body of the email message will be empty, so the recipient of the message will receive a message that is empty except for the .TIF image attached. If you want to introduce the message and the .TIF attachment to the recipient use the embedded MESSAGE= command.

e.g. [[MESSAGE=Please review the attached]]

The message text must be limited to one line.

How do I set Panafax MFPs parallel port interface mode to work with Unimessage Pro?

Some Panafax MFPs with parallel ports require the parallel port mode to be set manually into either printer or PC mode - PC mode is required if Unimessage Pro is to successfully communicate with the Panafax MFP.

The exact procedure to set the Panafax's interface mode varies form one Panafax model to the other, the following sequence comes from a DF-1100 but should be very similar to that for other Panafax MFPs:

  • Press FUNCTION
  • Press CURSOR DOWN (may be an arrow) to "SET MODE"
  • Press SET
  • Press CURSOR DOWN (may be an arrow) to "FAX PARAMETERS"
  • Press SET
  • Press SET repeatedly to cycle through the various fax parameters that you can edit (e.g. CONTRAST, RESOLUTION, PHOTO MODE) until you find "PARALLEL PORT I/F".
  • On the DF-1100 "PARALLEL PORT I/F" is prefixed "59" but there are gaps in the numbering so take care when reading the LCD.

    If you advance beyond "PARALLEL PORT I/F" press STOP to exit and then restart from the beginning.

  • With "PARALLEL PORT I/F" showing in the LCD try pressing "1", "2" or "3" to change the setting to "PC I/F". On the DF-1100 "3" sets "PC I/F".
  • With "PC I/F" showing, press SET
  • The Panafax LCD may indicate that it needs to reboot, if it does press SET again to reboot

After setting the required mode, try starting the Unimessage Pro driver for the Panafax MFP again.

Note

If you haven't already configured Unimessage Pro for the Panafax MFP be aware that you cannot use the "Yes, look for devices connected to this computer and configure Unimessage Pro to use them." option in the "File, New, Device" wizard to do so.

You must select "Yes, select a device connected to this computer from a list of supported devices." instead, then select "Panasonic" form the list of Manufacturers" and then the appropriate model from the list of models.

Unimessage Pro reports "Phonebook is corrupt" or "Failed to initialise Unimessage Pro. Shutting down."

If only one/some Unimessage Pro users experience this problem then this means that the problem relates to the Personal Message Store and Personal Phonebook for that/those Unimessage Pro users.

The problem is usually either:

  1. The Unimessage Pro registry entries for the effected Unimessage Pro user(s) may be corrupt on the PC where the error is being reported.
  2. The personal message store for the Unimessage Pro user is beyond recovery and needs to be removed so a new empty store can be created.

To determine which of the above is the likely cause, try installing or starting Unimessage Pro on another Windows PC on the same LAN and login as the same user that is experiencing problems elsewhere - this uses the same message store but a different registry.

If you can successfully login as the Unimessage pro user that is experiencing problems on another Windows PC then the problem is most likely that the settings in the registry for that Unimessage Pro user are corrupt on the PC where the error is being reported - see article SUP0151 (Deleting a Unimessage Pro user's registry settings).

If the same problem is reported on another Windows PC when you log into Unimessage Pro as the original user then the problem is most likely the personal message store for that user - see article SUP0152 (Rebuilding or reinitialising a Unimessage Pro user's personal message store).

How do I change the number of rings Unimessage Pro waits for before answering incoming calls?

With Class 1 and Class 2 compatible fax devices where faxes are received directly to the PC and not into the fax machine's memory initially you can control the number of consecutive "RING" messages that the Unimessage Pro device driver will wait to receive from the device before answering the incoming as follows:

  1. In Unimessage Pro, open the Devices folder by selecting it from the left-hand folder tree.
  2. Right-click on the appropriate devicename in the Devices folder and select Properties.
  3. Click the All settings button.
  4. Scroll the list of all settings button scroll the list to locate the Rings before answering parameter.
  5. Click the value in the Setting column for the Rings before answering parameter and change it as required.
  6. Click OK to close the dialog.
  7. If the device is already logged on, use the Log off button on the Devices folder's toolbar to log it off then the Start button to restart the device - changes made to the device's settings are activated when the device next starts.

CAUTION: Only make changes if you are sure. Improper settings can cause unpredictable behaviour. Changes will be saved immediately.

How do I receive Caller ID (CDS) with fax messages?

If you are using a Class 1 or 2 compatible fax machine or modem capable of receiving Caller ID data from your telephone system and the Caller ID facility is enabled on your telephone system you can configure Unimessage Pro's Class 1 or Class 2 fax device drivers to attempt to read the Caller ID from the fax machine or modem as follows:

  1. Start Unimessage Pro.
  2. Click Devices in the left-hand folder tree to open the Devices folder.
  3. Locate the appropriate devicename in the Devices folder.
  4. Right-click on the devicename and select Open.
  5. On the device's properties dialog, click the All Settings button.
  6. Scroll the list of all settings button scroll the list to locate the Detect Caller ID messages parameter, then click the setting for this parameter to change it from No to Yes.
  7. Click OK to close the dialog.
  8. If the device is already logged on, use the Log off button on the Devices folder's toolbar to log it off then the Start button to restart the device - changes made to the device's settings are activated when the device next starts.

CAUTION: Only make changes if you are sure. Improper settings can cause unpredictable behaviour. Changes will be saved immediately.

Notes:

  • When a Caller ID is received with a fax a new "Caller ID" tab will be displayed on the received fax message's "Properties" dialog.
  • The received Caller ID can be used in routing rules to filter received fax messages.
  • If caller ID is enabled, the Class 1 and Class 2 fax device drivers will try to activate Caller ID information from the fax device by sending "AT#CID=1". If the device responds with an error, the fax device driver will try sending "AT+VCID=1" instead. If neither command works the fax device driver will continue but probably not receive Caller ID data. You can specify a specific command to send instead of the two built-in defaults using the CALLER_ID_COMMAND="" parameter when added to the [Fax] section of the .DEV file using a text editor.
    • For Class 1 device drivers specify the whole command, e.g. CALLER_ID_COMMAND="AT#CID=1" would achieve the same as default behaviour.
    • For Class 2 device drivers omit the leading "AT" portion of the command, e.g. CALLER_ID_COMMAND="#CID=1" would achieve the same as default behaviour.

Unimessage Pro: Answering incoming calls in "Voice" mode to receive DTMF tones to use for routing

If your fax device is both Voice AND Class 1 or Class 2 compatible (this would normally apply to a fax modem rather than a fax machine) then you can configure Unimessage Pro's Class 1 or Class 2 fax device driver to answer incoming calls in voice mode initially before it switches to fax mode for the reception.

When Unimessage Pro answers an incoming call in voice mode it will listen for DTMF tones for approximately 10 seconds. Any heard during that time will be treated as a default subaddress for the subsequent fax reception and can then be used to route the received fax either using a System Routing Rule or by assigning a unique subaddress to the Unimessage Pro user.

To configure Unimessage Pro's Class 1 or Class 2 fax device drivers to answer incoming calls in voice mode:

  1. Start Unimessage Pro.
  2. Click Devices in the left-hand folder tree to open the Devices folder.
  3. Locate the appropriate devicename in the Devices folder.
  4. Right-click on the devicename and select Open.
  5. On the device's properties dialog, click the All Settings button.
  6. Scroll the list of all settings button scroll the list to locate the Answer in voice mode parameter, then click the setting for this parameter to change it from No to Yes.
  7. Click OK to close the dialog.
  8. If the device is already logged on, use the Log off button (scissors) on the Devices folder's toolbar to log it off then the Start button (green light) to restart the device - changes made to the device's settings are activated when the device next starts.

CAUTION: Only make changes if you are sure. Improper settings can cause unpredictable behaviour. Changes will be saved immediately.

After activating voice answering, when logged into Unimessage Pro as an Administrator level user either assign subaddresses to each Unimessage Pro user via the user's Properties dialog using the Users folder or use the Setup, System Routing Rules menu to define system routing rules to route the received faxes.

Some devices, for example the Ascom Fax Router, connect to ISDN telephone pojnts (which pass the original number dialled to the answering device) and relay the original number dialled to the PC (if it answers in "voice" mode) as though they were received as a series of DTMF tones - this can be used to achieve DDI routing of received faxes.

Notes:

  • By default Unimessage Pro's Class 1 and Class 2 fax device drivers will wait a maximum of 10 seconds listening for DTMF tones after answering the incoming call before switching to fax receive mode. Some users have found that when voice mode is activated faxes are no longer received unless the timeout for DTMF tones is set >=12000 (but not 30000). To change this time-out do the following:
    • Start Unimessage Pro.
    • Click Devices in the left-hand folder tree to open the Devices folder.
    • Locate the appropriate devicename in the Devices folder.
    • Right-click on the devicename and select Open.
    • On the device's properties dialog, click the All Settings button.
    • Scroll the list of all settings button scroll the list to locate the Wait for voice parameter.
    • Click the value in the Setting column for the Wait for voice parameter and change it as required - the value is in 1/1000 second. Unfortunately for Class 1 device drivers this screen may indicate a value of 30000 initially when the default is actually 10000, for certainty that the value specified here is being used do not leave the value set to 30000.
    • Click OK to close the dialog.
    • If the device is already logged on, use the Log off button on the Devices folder's toolbar to log it off then the Start button to restart the device - changes made to the device's settings are activated when the device next starts.
  • If you are using a Class 1 device driver the DTMF tones can also be used to selectively poll faxes in the Unimessage Pro Network Polling List folder. To activate this mode, set Use tones for Sep on polls to Yes in All settings as well as Answer in voice mode.

How can I automate message submission with Unimessage Pro?

You can use embedded commands to include instructions to Unimessage Pro within the document you print to the Unimessage Pro printer.

Unimessage Pro will extract these commands to learn, for example, the fax number or email address to send the message to so that it doesn’t need to display the Unimessage Pro New Message window and can submit the message straight into the Outbox for sending.

There are many embedded commands and they can be used with, for example, mail merge functions to send personalise messages to clients or other interested parties.

Unimessage Pro: "Not enough space for environment table" reported by Scheduler


If Not enough space for environment table is reported when you start the Unimessage Pro scheduler:

  • Try reducing the number of variables defined in Windows' Environment Variable list.
  • Try applying the latest available Unimessage Pro service pack - the Unimessage Pro Scheduler, UniSched.EXE, has been updated so that the Windows environment table is not copied so this error should not occur.

How do I use OCR in User Routing Rules to route faxes on receipt in Unimessage Pro

Firstly, not all copies of Unimessage Pro include support for OCR. To check whether OCR functions are available on your copy select the Help, About Unimessage Pro menu then the Network tab - if the OCR option is checked then OCR functions are supported by your copy of Unimessage Pro. If OCR functions are not supported by your copy of Unimessage Pro you may be able to upgrade, please contact our Sales Department for more details.

Secondly, User Routing Rules are actioned by the Unimessage Pro user when a message arrives in, for receptions, their Received Items folder. So, the user routing rules described below will only take effect if a received fax is forwarded to the appropriate user via, for example, a System Routing Rule. System Routing Rules can be defined only by Unimessage Pro Administrator level users via the Setup, System Routing Rule menu.

Step 1: Defining an OCR Auto-Detection Scheme

To route on specific fields on a received fax cover sheet for example subject or to you first need to create an OCR auto-detection scheme this will tell Unimessage Pro where to look for the information.

OCR detection schemes are defined via the Setup, OCR menu on the Auto-detect tab, they tell Unimessage Pro what key text to look for in the OCR text results and then where in relation to that found text to extract the data to assign to a property for the received fax message.

For example

If you receive faxes that are formatted as follows:

FAO: Tim Kirkland

Then you might want to configure the OCR detection scheme to set the property "To" to the text found to the right of "FAO:" in the OCR text results.


Procedure:

  • Click the New button to create a new OCR detection scheme, or select an existing scheme from the list provided to edit or review that scheme.
  • Select a Property field name then click the Set location button to tell Unimessage Pro where it should look in the OCR text to find the setting for this Property field.
  • When you have defined how each property to be set should be extracted from the OCR text results, click the OK button.

Step 2: The OCR User Routing Rule

Once you have defined your Auto-Detection scheme you need to create a rule that OCR the incoming items. This rule should be placed at the top of your User Routing Rules list so that rules below can route on the OCR results.

Procedure:

  • If the User Routing Rules dialog is not already displayed, select the Setup, Routing Rules menu.
  • Click New, in the user routing rule dialog to start a new rule.
  • Select the When a message has just been received condition, then click Next.
  • Select the appropriate message type, Fax or Scanned image, then click Next.
  • If required select any appropriate further conditions, then click Next.
  • On the What actions should be applied to the message routing rules page, select the Submit given part of message for OCR action. Then click the words underlined in red in the phrase then submit given part of message for OCR to display the Submit for OCR dialog and complete the settings thereon as detailed below:
    • Select what part of the received fax or scanned image should be OCRed - Whole document or a specific Page range.
    • Select Plain text.
    • The OCR-detection scheme that you created in step 1 above will be present in the drop down list - select it.
    • Click OK.
  • Complete the other pages in the Routing Rule wizard, assign the rule a name and click Finish.

Running with no other rules in place this will OCR your received fax, apply the auto-detection scheme and display and appropriate results in your received items folder.

Step 3: Routing on OCR Results

Your Auto-Detection scheme tells Unimessage Pro where the To, From, Subject and Message contents are on your received fax. Your OCR routing rule gets Unimessage Pro to OCR and search for this information to set the properties for the message. Now we have this information we can route using it.

Here are steps for routing a received fax after it has been OCR'ed with an auto-detection scheme. Please note in your user routing rules list this rule should appear below your OCR routing rule created above.

  • If the User Routing Rules dialog is not already displayed, select the Setup, Routing Rules menu.
  • Click New, in the user routing rule dialog to start a new rule.
  • Select When a message has just been received, then click Next.
  • Select the appropriate message type, Fax or Scanned image, then click Next.
  • Select with given words in message fields.
    • Click given words, in the word match dialog type the word(s) that you are looking for, e.g. Sales, then click OK.
    • Click message field(s) and on the message fields dialog tick where you want to the word to be found, e.g. Subject, then click OK.
  • Click Next.
  • Select what you want Unimessage Pro to do with fax that matches the above criteria for example Move to given folder.
  • Complete the routing rule (you may want to use the Apply no further rules to it action so that later rules are not used), assign the rule a name and click Finish.

You may wish to define additional user routing rules to perform other actions if the message properties set by the OCR and OCR auto-detection scheme are different.

Summary

After completing the 3 steps above, if you have used the example routing rule settings given above, Unimessage Pro will now:

  • OCR A fax on Receipt.
  • Apply the Auto-Detection scheme.
  • Route any faxes that haves sales in the subject to a given folder.

Problems sending faxes via Minolta Di200f, Di250f, Di251f, Di350f or Di351f LAN connected IFax MFPs

First check that "Gateway TX" is "ON" on the Minolta MFP. This setting is normally presented within the Minolta MFPs "Network" screen in "Set 4". If "Gateway TX" is not shown, it is probably because bit 4 of DIP switch 361 is still "0" and needs changing to "1" - contact your Minolta dealer for details of how to make this change.

If problems persist, in Unimessage Pro examine your fax transmission fax number and the dial preamble associated with the Minolta MFP device. If you have included any "&" characters remove them - they can confuse the Minolta MFP resulting in any of the following symptoms:

  • Faxes print on the Minolta MFP instead of being sent to the remote fax machine.
  • Fax transmissions fail in Unimessage Pro with the error "No response from local device".
  • Fax transmissions fail in Unimessage Pro with the error "Local device communications error".

How do I submit my own sources to The Newwws Exchange?

Right-click the source, select Submit to The Newwws Exchange, and complete the form giving details of the source then click the Submit button.

You may only be able to do this after buying a full copy of The Newwws.

Please note that sources submitted to The Newwws exchange are routinely checked before being made visible to other users to ensure that they extract headlines and that the headlines do not contain any offensive words.

How do I change the speed the ticker scrolls at?

  • Right-click The Newwws' system tray icon.
  • Select Options.
  • Select the Ticker tab.
  • Drag the slider towards Fast or Slow to change the scroll speed.
  • When you're happy with the speed click OK.

How do I close The Newwws?

How do I make The Newwws play a sound when a watched source changes?

  • Right-click the active source's name.
  • Select Source Options.
  • Click the Watch Notifications button.
  • Clear Use default notification options.

How do I delete a source?

To delete a source it must not be active. To deactivate a source either clear all mode icons for it on the Manage sources dialog or right-click the active source's name and select Remove from....

  • Right-click on The Newwws icon in the System Tray.
  • Normally bottom right hand corner of your screen by the Windows clock.

  • Select the Manage Sources option.
  • Find the library containing the source to be deleted and, if the library isn't already expanded, click the "+" symbol to the left of the library's name to see the sources.
  • Right-click on the source and select Delete then confirm you want to delete the source.

You can also delete sources via the Manage libraries dialog. To access the Manage libraries dialog from the Mange sources dialog click the More button and then select the Libraries... option.

How do I copy or move a source to another library?

Use the Manage Libraries dialog:

  • Right-click on The Newwws icon in the System Tray.
  • Normally bottom right hand corner of your screen by the Windows clock.

  • Select the Manage Sources option.
  • Click the More button then select the Libraries... option.
  • On the Manage Libraries dialog, scroll the list of libraries to find the library containing the source you want to copy and select this library so that the sources in it appear in the right-hand list.
  • Scroll the list of libraries so that you can see the library you want to copy to, but do not select this library.
  • Select the source to be copied in the right-hand list then drag it while holding the Ctrl key down and drop it onto the name of the library you want to copy it to in the left-hand list.
  • Repeat for other sources if required.
  • Click OK twice to save changes.

If you don't hold the Ctrl key down on your keyboard while dragging and dropping the source from one library to the other then the source will be moved instead of copied unless it is already active in the original library in which case it is always copied.

How do I show only headlines that include (or exclude) specific words or phrases

Use the Keyword filtering system:

  • Right-click the active source's name.
  • Select Source Options.
  • Select the Keywords tab.
  • Either:
    • To show only headlines that include specific words or phrases type the words or phrases into the upper Include box - put phrases inside "".
    • To not show headlines that include specific words or phrases type the words or phrases into the lower Exclude box - put phrases inside "".
  • Click OK.

How do I change how often a source is checked?

How do I work with JavaScript sources?

Some headlines are linked to stories using JavaScript. The Newwws is not able to decode JavaScript, so if you click on these headlines you will be taken to the source so that you can navigate to the story from there.

How do I work with non-Latin character sets?

The Newwws supports English, Spanish, French, German, Italian, Dutch and Swedish. However it does use the native character set supplied with the Windows. Therefore it should be able to support headlines from web sites using non-Latin character sets if the character set matches the default being used by Windows. For example, you will be able to see Russian headlines only if you use Russian Windows.

How do I use The Newwws to check if files or folders have changed?

How do I deal with sites that need passwords and secure sites?

In general, if you can browse to the site without entering a password, then the site will work in The Newwws. This will include many password protected sites as your browser will often automatically provide the password when needed.

Be aware, that these passwords are supplied by your browser and not by The Newwws. If you use a source created on a computer where the passwords are required, and subsequently delete the password (perhaps by deleting cookies), or use a different browser or use the source on another computer, then it will fail with the yellow triangle.

The Newwws makes no attempt to access secure sites, as that would invalidate your security.

How do I tell if a source is still working?

From time to time, web sites are re-designed and you may have to edit the source or even make a new one. Generally, the first sign that there is a problem is the presence of the yellow or red triangles, a warning message from The Newwws that it is no longer receiving new headlines, or headlines that haven't changed for a long time.

Check the web site by right-clicking on the source and select Goto this source ..., your browser will open and you can check that the page is still as expected. Right-click on the source and select Open in The Newwws Editor ... if you need to update the source.

How do I use The Newwws with my modem?

The Newwws will use the standard Internet connection method you have selected (Start, Settings, Control Panel, Internet Options, Connections) and will connect according to the settings you have made by right-clicking on The Newwws icon in the system tray and selecting Options, Connection. Please also make sure that Internet Explorer is NOT set to work in offline mode.

If you use non-Windows dial up connections (for example AOL) then The Newwws will not be able to close the connection when it has finished updating headlines. You will need to manually close the Internet connection. With these clients we recommend that you choose the Update if already on line connection option and when you are connected to the Internet right-click on The Newwws icon in the system tray and select Check all sources.

How do I work with web pages that change regularly?

Many sites update the address of their web pages regularly, for example, a site with latest movie releases might add a web page with new movie releases every month. Normally The Newwws would go directly to the page you specify in the source (NOT the new page), so that a source made in July will continue to show release for July even in August.

To avoid this problem, when browsing to the page in The Newwws Editor, on the page BEFORE the headlines hold down the Ctrl key when clicking on the link to get to the headline page (in our example, the link might be called "New Movie Releases"). The source will then remember the earlier page and the link, rather than the page itself. This way you can always see the latest movie releases.

Why do I get the same headline shown again?

Many sites update their stories but keep the same headlines. The Newwws will repeat the headlines to tell you that the story has been updated. Other sites may change the location or address of the story. In this case, to prevent repeatedly showing the same headline, right-click on the source, select Source options ..., and change the setting on the Headlines tab.

I've made a source, but I'm not happy with it, how can I improve the way my headlines look?

Once a source has been created, you can add keywords from the source options dialog (right-click on the source and choose Source options ...). You can either add text to be excluded, headlines from that source containing these words will not be displayed, or text to be included, only headlines containing these words will be displayed.

You can use quotation (speech) marks "" to add phrases that include spaces. The quotation marks themselves will be ignored. For example, if you add the words "Bill Clinton" to the Include ... field, then only headlines that include this phrase will be shown. Similarly, if you add these words to the Exclude ... field, you will never see headlines from that source containing "Bill Clinton".

If, after creating a source, you need to carry out more editing, for example if a web site has been redesigned, right-click on the source and select Open in The Newwws Editor .... This will launch The Newwws Editor and allow you to reconfigure the headlines.

How does The Newwws determine when a headline has changed?

The Newwws decides a headline is new when either the headline text or the associated link changes. You can choose which of these conditions apply to each source as follows:

  • Right-click on the source's name in the Watch, Ticker or Manage Sources window and select Source options.
  • Click the Headlines tab.
  • Set the When the text has changed and When the address of the story has changed selections as required.
  • Click OK.

If you get headlines repeatedly appearing in The Newwws Watch it may be because the link associated with the headlines changes each time The Newwws checks the page - so try clearing the When the address of the story has changed option.

Changes made on this dialog are only stored while the source remains active unless you click the Permanently apply settings button.

Important definitions

Sources

A source is what is to be monitored for changes. There are three types of source:

  • Web pages.
  • Email accounts.
  • Disk files on you PC or on a network.
Notes

You require the full version of The Newwws to monitor email accounts and disk files.

Active/inactive sources

A source is "active" when it is displayed in the Ticker, the Watch or on print.

When you receive your copy of The Newwws, most of the provided sources will be inactive.

You can make a source active by right-clicking on The Newwws icon in the System Tray (normally bottom right hand corner of your screen by the Windows clock), selecting the Manage Sources option and clicking on the Ticker, Watch or Print icons to the left of the source name, click the icon again to deactivate a source.

You must make a source active before you can change its options. For example, you must make an email source active before you can define its name, mail server, account name and password or before you can define how frequently you want it checked.

UniSave configuration not being saved

If you find that any changes to the Unimessage Pro UniSave settings appear not to be saved when accessing the configuration program via Window's Start, Program menu, the problem is due to the fact that the Start In property is not set for the shortcut. To resolve this you need to:

  • Click on the Windows Start button and select the Programs, Unimessage Pro menu.
  • Right-click on the UniSave Configuration menu option and select Properties.
  • Within the Start In box enter the folder in which Unimessage Pro has been installed.
  • Click on OK.

Malformed emails in Lotus Notes

If you find that emails are incorrectly line wrapped when sending from Unimessage Pro and received in Lotus Notes (especially v5 but possibly in other versions) then you need to make the following alterations to Lotus Notes:

  • Within Lotus Notes change the Public Address Book Settings from Rich Text to standard.

Please note that this problem may possibly not only occur with email from Unimessage Pro but also from other email software.

DOS print jobs keeps launching Unimessage Pro

If when printing from a DOS based program the Unimessage Pro send dialog always opens, then the problem is because it has been set to capture such output.

To prevent this with Windows 98/Me you need to do the following:

  • Select Start, Settings, Printers.
  • Right-click on Unimessage Pro and select Properties.
  • Select Details tab.
  • Click Port Settings button.
  • Clear the Spool MS-DOS print jobs check box.
  • Click OK.

Unimessage Pro and Windows Terminal Server/Services (revised 20040427)

Windows Terminal Server/Services are not supported by Unimessage Pro, there are a number of known issues which are listed below. Some testing of the environment has been completed and the product is known to run normally in most cases.

Known Issues

  1. Main Installation
    1. Due to the way Windows terminal services requires software to be installed you cannot install Unimessage Pro from the CD via the menu. You must go to 'Add/Remove' programs within control panel with local administrator rights and then browse to SETUP.EXE file in the XXXXX folder on the Unimessage Pro CD.
    2. After Unimessage Pro has copied the files across from the CD it will ask you to reboot. Select No and manually log the Terminal Server user off and log in again.
    3. On logging back in the Unimessage Pro wizard will run. However as this is currently run by setting it within the Run Once section of the registry, every user who logs on after this will be presented with the Unimessage Pro setup wizard. Only the user who is actually performing the installation needs to complete the wizard. All other users must select cancel. They should not get the wizard again unless someone else installs the Unimessage Pro client or you can manually edit the 'run-once' section of the registry if you wish.
  2. Client Installation
    1. When installing the clients, Windows administrator rights are required for the user as with normal installations however item (1.c) above will recur.
  3. Operation
    1. The use of Unimessage Pro in multiple simultaneous thin client terminal server/services sessions logged in using the same Windows user name is specifically not supported (20040427).
    2. If Unimessage Pro is installed locally, or as a normal (thick) client on the Windows PC where it is also running in a terminal server/services thin client a "session" Unimessage Pro printer may appear to thin clients. Do not use this "session" Unimessage Pro printer to submit jobs to Unimessage Pro (20040427).
  4. Uninstallation
    1. Due to the way InstallShield installs Unimessage Pro the uninstall appears for all users after installation in the 'Add/Remove programs' in Control Panel, but will only uninstall the user that initiates the uninstall. Other users will have to be manually uninstalled.

SmartLink2000/ImageVision2000 fax transmissions via LAN connected Toshiba DP120/125 or e-STUDIO16/20/25 fail with "A Windows socket error occurred"

Toshiba SmartLink2000/ImageVision2000 are based on Unimessage Pro but are optimised for use with Toshiba MFPs not supported by the Unimessage Pro product. The following information is provided for information only.

If the first transmission via the Toshiba LAN MFP fails with "Number invalid", then second and subsequent transmissions fail with "A Windows socket error occurred" it possible this is due to the use of "1%" or "2%" in the preamble associated with the SmartLink/ImageVision 2000 device driver.

Ensure you are using latest available versions of the SmartLink2000/ImageVision2000 software, v1.66 Service Pack.

If the problem persists, of the v1.66 Service Pack isn't available, ensure that "1%" and "2%" are not present in SmartLink/ImageVision 2000 device driver's properties:

In SmartLink2000/ImageVision2000:

  • Open the "Devices" folder.
  • Right-click on the appropriate device and select Open.
  • Select the Send tab.
  • Check that the Preamble setting does not include "1%" or "2%".
  • Click "OK" to save the settings and close the dialog.
  • Use the "Log out" button (scissors) on the "Devices" folder's toolbar to log out the device.
  • Use the "Start" button (green light) on the "Devices" folder's toolbar to restart the device - changes made to the device driver's properties are only acted on when the device restarts.

First, ensure you are using latest available versions of the SmartLink2000/ImageVision2000 software, v1.66 Service Pack.

If the problem persists, of the v1.66 Service Pack isn't available, check that only digits 0 to 9 are used (and that the & character especially is not) in the fax numbers and in the dial preamble for the fax device:

In SmartLink2000/ImageVision2000:

  • Open the Devices folder.
  • Right-click on the appropriate device driver and select Open.
  • Select the Send tab.
  • Check that the Preamble setting includes only numbers 0 to 9.
  • Click OK to save the settings and close the dialog.
  • Use the Log out button (scissors) on the Devices folder's toolbar to log out the device.
  • Use the Start button (green light) on the Devices folder's toolbar to restart the device - changes made to the device driver's properties are only acted on when the device restarts.

Fax transmissions being sent via LAN connected Toshiba DP120/125 or e-STUDIO16/20/25 remain "In Progress" when sent

The following information is provided for information only.

When a fax is transmitted via an LAN connected Toshiba DP120/125 or e-STUDIO16/20/25 device, the fax message is uploaded to the device for transmission. Once completed, the device should send a DSN/MDN message back to the PC reporting the outcome of the transmission. If the "NETWORK E-MAIL, E-MAIL ADDRESS" setting on the Toshiba LAN MFP is not defined or the "NETWORK (LAN FAX), LAN FAX SERVER ADDRESS" setting on the Toshiba MFP doesn't match the IP of the PC where the SmartLink2000/ImageVision2000 device driver for the Toshiba LAN MFP is running then no DSN/MDN messages will be sent or received - this can cause jobs to remain "In progress" in SmartLink2000/ImageVision2000 after the MFP has sent them.

On the Toshiba MFP, check:

  • NETWORK E-MAIL, E-MAIL ADDRESS
  • Is set to a syntactically correct email address.

  • NETWORK (LAN FAX), LAN FAX SERVER ADDRESS
  • Is set to the IP address of the PC where the SmartLink2000/ImageVision2000 device driver for the Toshiba LAN MFP is running.

Norton Anti-Virus Software and Sending Email

If Norton Anti-Virus 2000/2001/2002 is set to check all outgoing emails and your email software is configured to establish a Windows Dial-Up Networking connection to the mail server(s), then the last message sent may be lost or corrupted. The cause of the problem is that the email package is unaware that Norton Anti-Virus is intercepting the emails for checking, so when the email package has sent the last message, it considers the task finished and closes the connection to the Internet. But, the last message is still being handled by Norton Anti-Virus, and when it tries to pass it onto the mail server, the connection is no longer there, hence the message is lost or corrupted.

There are at least two possible workarounds for this problem:

  1. Disable checking of outgoing emails within Norton Anti-Virus software.
  2. Manually perform the connection and disconnection to the Internet.

Notes

  • Please note that this problem does not only exist with Unimessage Pro but also with other email software such as Microsoft Outlook and Eudora.

Components failed to install correctly

If you find that any components associated with Unimessage Pro are not copied or created during the installation process please do the following:

  • Restart Windows.
  • If the problems persist, restart the Unimessage Pro installation, select to replace the existing installation if asked.

If your problems persist, please do the following:

  • Restart Windows.
  • Select Start, Settings, Control Panel, Add/Remove programs then select Unimessage Pro and uninstall Unimessage Pro.
  • Restart Windows if prompted to do so.
  • Close all other programs including anti-virus software, undelete software, system protection software, etc.
  • Restart the Unimessage Pro installation.

If your problems still persist, contact your supplier.

Moving and copying messages between folders

How can I move/copy messages between folders within Unimessage Pro quickly?

The quickest way to move a message from one folder to another within Unimessage Pro is to simply highlight the message within the original folder and then drag it to the new folder. This will move it from the original folder to the new one.

However if you want to copy the message from the original folder to the new folder rather than moving it, repeat the same actions as you would to move it but hold the [CTRL] key while dragging the message. This will result is a copy of the message appearing in the new folder.

It is possible to select multiple messages for moving/copying by highlighting the first message and then clicking on the last message while holding down the SHIFT key. This will highlight all the messages between and including the two selected messages. You can then drag all the highlighted messages in one operation.

These techniques also applies to moving contacts entries between personal and the shared network phonebooks.

Notes

  • Only a user with supervisor or manager privileges can move entries from a network folder or copy/move to a network folder.

Problems sending faxes via fax modems

If you experience problems sending faxes via fax modems where the modem gives up without dialling try changing the Enable dial tone detection setting for your device as follows:

  • Open the Devices folder from the left-hand folder tree in Unimessage Pro.
  • Right-click on your device and select Open from the menu displayed.
  • On the Device tab of the dialog displayed, click the All settings button.
  • Scroll the list of settings then displayed, taking care not to change any accidentally, until you find Enable dial tone detection.
  • Click the current setting, Yes or No, and an arrow will appear to the right of it.
  • Click the arrow to see all possible settings and select the alternate option.
  • Click OK to close the dialog.

The change will take effect from when the Unimessage Pro device next starts.

Microsoft IntelliMouse sometimes disappears

If your IntelliMouse mouse pointer disappears whilst Unimessage Pro is running, try clearing the Hide pointer whilst typing option on the Pointer options tab of the Mouse Properties dialog. To display the Mouse Properties dialog, select Start, Settings, Control Panel, Mouse or double-click on the mouse icon in your Windows System Tray.

Gateway output is disappearing.

If Unimessage Pro Gateway appears to process the documents however nothing appears in Unimessage Pro, then this is possibly due to the fact the gateway option is not enabled within Unimessage Pro.

You can check this in Unimessage Pro by selecting the Help, About Unimessage Pro menu then the Network tab. The Gateway option should be checked. If it is clear then you will need to update your Unimessage Pro using the update option on the Unimessage Pro Gateway CD and the accompanying configuration floppy disk. If you do not have these, please contact your supplier.

Unimessage Pro Email and Microsoft Exchange Server

Unimessage Pro cannot connect to my exchange server to send or receive email...

To send or receive emails from Unimessage Pro, it requires to connect to SMTP and POP3 servers. By default Microsoft Exchange server does not provide these. However, if you install the Internet Mail services for MS Exchange it will provide a SMTP and POP3 service. Therefore with these installed Unimessage Pro is capable of sending and receiving emails through an Exchange server.

Scanning 24-bit colour and high-resolution images

24-bit colour and high-resolution images can be very large - over 40 megabytes for each file, and additional PC memory maybe required to manipulate the image. It is best to use no higher than 200x200 dpi when scanning a 24-bit colour image.

You may experience problems displaying bitmaps on some Windows 9x installations when the file size exceeds or approaches 40 megabytes. This can often be avoided by disabling all 32 bit protected mode disk drivers on the screen displayed by selecting:

  • In Windows select Start, Settings, Control Panel.
  • Double-click System.
  • Click the Performance tab.
  • Click the File System button.
  • Select the Troubleshooting tab.
  • There is a loss of performance disabling these drivers.

Problems printing to Unimessage Pro in Windows 2000

If you print from an application under Windows 2000 to Unimessage Pro and it appears to print okay but nothing appears in the outbox then try the following:

  • Select the Windows Start, Settings, Printers menu.
  • Right-click on the Unimessage Pro printer and select Properties.
  • Click the Printing Preferences button.
  • Click the Advanced button.
  • Change Metafile Spooling to Off.
  • Click the OK button repeatedly until the dialogs are closed.

Unimessage Pro embedded commands don't work from Word and WordPad under Windows 9x in landscape

Due to a problem in these application always print text that is not an embedded command using a TrueType font not the Commands or Courier printer font.

Also, try moving the embedded commands to the top of the page, above the standard text for that page.

Problems printing from NotePad in landscape

If this happens, please either use another application, e.g. WordPad, in which you can select an alternate font for the text that isn't an embedded command or print the document in portrait.

Incorrect character spacing with large text

When using Windows 95 or 98 with applications such as Microsoft Word, Microsoft WordPad and Microsoft PowerPoint, characters printed using TrueType fonts at sizes 48 point and above will be incorrectly spaced. Please either use smaller fonts or avoid 200x400 (superfine) resolution.

Image corruption when scanning or printing

If you experience image corruption in fax or Internet fax messages produced by printing to the Unimessage Pro printer or whilst viewing scanned images this may be caused by Windows 9x attempts to use video acceleration techniques that do not work with your graphics card. To avoid the use of these techniques try reducing the level of acceleration used as explained below:

  • In Windows select Start, Settings, Control Panel.
  • Double-click System.
  • Click the Performance tab.
  • Click the Graphics button.
  • Use the slider to change the Hardware acceleration setting.
  • Click the OK button.

Try selecting None to start. If this removes the corruption gradually increase the acceleration setting until the corruption returns and then step back to the highest acceleration setting that doesn't show corruption.

Notes

  • This issue has been observed using Matrox graphics cards under Windows 9X and NT4.

Formatting problems in Word 2000 at Standard and Superfine resolutions

If you find that documents printed from Microsoft Word 2000 are formatted incorrectly check the following:

  • In Word, select the Tools, Options menu.
  • Select the Compatibility tab.
  • Tick the Use printer metrics to layout document option.
  • Either:
    • Select a resolution with same resolutions in x and y axis, e.g. Fine, 200x200, 300x300 or 400x400.
    • Make sure that the same paper size is selected in Word 2000 and the printer's Properties dialog. To check the paper size in Word 2000 select the File, Page setup menu. To check the paper size Word's printer properties dialog select the File, Print menu and click the Properties button.
    • In Word>, select the Tools, Options menu, then the Print tab and clear the Allow A4/Letter paper resizing option.

Default email account for sending email

Before you can send email messages from Unimessage Pro you must:

  • Define an email account.
  • Select an email account for sending your email:
  • Open the Email accounts folder.

Right-click on the account you want to use for sending your email and select Use to send my email.

Define an email driver that can connect to the POP3 and SMTP servers used by the email account. For information on configuring Unimessage Pro to send and receive SMTP/POP3 email messages download “Unimessage Pro Email Setup Information” from the download page.

System-wide and User specific email accounts

Only email received via a user specific email account will be routed directly into the associated user's Received items folder, email received via a system-wide email account will be routed into the Network Inbox - even if there is only one user. Therefore, take care to select User and the appropriate name for the email account type when creating an email account if the account is to be used by only one person and all email received via that email account should be given directly to the person.

Re-running the Unimessage Pro Startup Wizard

If you want to re-run the Unimessage Pro Startup Wizard, first make sure that Unimessage Pro is not already running on your PC, then click Start, Programs, Unimessage Pro, Unimessage Pro Startup Wizard.

Changing email server names

If you make a mistake defining an email SMTP or POP3 server name you must follow the procedure when connected to Unimessage Pro with Administrator privileges below to correct the error:

  • Select the Setup, Email menu.
  • Select the Servers tab.
  • For every new SMTP and POP3 server name:
    • Click the Add button
    • Enter the POP3/SMTP server name.
    • Select the appropriate type (POP3, SMTP or Both).
    • Click the OK button.
  • Click the OK button to close the Setup Email dialog.
  • Open the Email accounts folder.
  • For every email account already define that uses the old POP3 or SMTP server:
    • Open the account.
    • Select the Servers tab.
    • Change the POP3/SMTP server to the new name as required.
    • Click the OK button.
  • After you have changed all email accounts so that none refer to the old POP3/SMTP server you can, if required, delete the old server names. To do this:
    • Select the Setup, Email menu.
    • Select the Servers tab.
    • Select the POP3/SMTP server to be removed then click the Remove button.
    • Click the OK button.
  • You must make sure that at least one email driver is configured to be able to access these new POP3/SMTP servers.
  • To do this:

    • Open the Devices folder.
    • Double-click one of the email device drivers listed.
    • Select the Servers tab.
    • If using a Windows Dial-Up Networking [DUN] connection ensure that the correct Dial-Up Networking name is selected.
    • Check each new POP3/SMTP server that can be accessed via this email driver configuration.
    • Click the OK button.

Communications with Unimessage Pro Scheduler problems

If, particularly when using Unimessage Pro on Peer-to-Peer networks, you experience problems communicating between the Unimessage Pro Scheduler and users and devices - try editing the file SCHED.DFT using NotePad or WordPad:

  • Within SCHED.DFT locate the line reading:
  • COMM_REPLY_FAULT = Yes
  • Change it to read:
  • COMM_REPLY_FAULT = No
  • Replace the file.
  • Restart the whole Unimessage Pro system - including the Scheduler.

Problems communicating with a serial fax machine on Windows NT4

If you have problems communicating with a serial fax machine from Unimessage Pro and Unimessage Pro has created a printer to print via Unimessage Pro using the serial fax machine then check that the printer under NT4 is connected to LPT1 not the COM port because connecting it to the COM port prevents communication with the device by the Class 1/Class 2 device driver.

AOL, MSN, Hotmail or Web Based Email and Unimessage Pro

Why can I not access America Online (AOL), Microsoft Network (MSN), Hotmail or Web Based Email with Unimessage Pro?

AOL and MSN are online services - meaning that they use their own proprietary email system. All of their mail has to go through a gateway to get out onto the Internet, meaning that Internet-based mail programs like Unimessage Pro can't talk to them. You can only use the software that they provide to check and send mail through them.

To use the email part of Unimessage Pro, you'll need to have an INTERNET SERVICE PROVIDER (ISP) with a POP3 mail server.

You can, of course, use Unimessage Pro with an ISP account to send mail to and get mail from people with AOL or MSN accounts. You just can't use Unimessage Pro with an AOL or MSN account.

If you have a web based email account such as Eudora mail, Yahoo mail, or Hotmail, you will have to check to see if it also supports POP3 connections. Most do not - but some do (like Eudoramail.com or Yahoo.com). Hotmail (owned by Microsoft) only allows you to use a Microsoft product to check your Hotmail.

You can check your web based email account's email with Unimessage Pro only if it supports the POP3 mail protocol.

"The printer name is invalid" error when using the Unimessage Pro "Create Printer" menu

When attempting to create a printer for a device driver in Unimessage Pro on a LAN client PC I get a The printer name is invalid error, why?

The reason for this error message is because it cannot find the remote shared printer. To resolve the problem first check that the printer exists, is shared on the PC to which the device is directly connected and that the PC to which it is connected is powered on. Then close and restart Unimessage Pro on that PC before retrying the Create printer menu on the LAN Client PC.

Failure to register files during installation (revised 20040325)

Usually the registration process fails because some .DLL that the file that failed to register depends on isn't available at the time or is of the wrong version.

The registration process will fail if any of the files in the chain are absent.

The registration process will also fail if any of the functions used by files higher in the chain are absent from files lower in the chain

Of the two, the latter is more likely (Unimessage Pro installation will install the required files) but if earlier versions of the files are already in place then the newer ones provided can only replace them during the installation if the existing files are not in use. If the existing (earlier) files are in use (i.e. an application that uses them is still running) during the installation then they will be updated when Windows is restarted. Since the registration process is performed at the end of the installation process, before Windows restarts, if the files have not been updated the original older files will still be in place and the registration process will fail - this is why we recommend to close all applications before starting to install Unimessage Pro.

To resolve the situation there are several courses of action:

  • Restart Windows, to allow any locked "in-use" files to be updated, and then repeat the Unimessage Pro installation confirming to update the already in place partial Unimessage Pro installation (20040325).
  • Uninstall and reinstall.
  • Register the files manually using REGSVR32.EXE using the start run prompt.
  • Note: REGSVR32.EXE is a Microsoft Windows utility and is not always installed and available.

Packard Bell PC's displaying 'resource is not present' error

Packard Bell PC's (9xx & 9xxx) range displaying resource is not present driver error when starting Unimessage Pro.

This is due to an infra-red driver using COM1 exclusively, even if the PC does NOT come supplied with the infrared receiver.

To disable it, open the SYSTEM.INI file and change the line PBIRPORT=1 toPBIRPORT=0. Close Notepad, saving the changes, and re-boot the PC for the change to take effect.

Problems printing multi-worksheets from MS Excel 97

It has been discovered that when printing several worksheets from Microsoft Excel 97, the application often splits the print job into several parts. This results in the printer driver being presented with several completely separate print jobs. When printing to a physical printer this is not normally a problem however when sending faxes, each separate print job is treated as a separate fax which can be a problem.

It appears that there is a workaround solution within Excel 97 which is to select Print to File on the print dialog box. This appears to force Excel 97 to produce only on print job for the complete printout so resulting in only one fax.

Problems receiving and scanning, especially on Notebooks

If you experience problems receiving or scanning faxes to the PC check whether the Power Management functions provided by your PC and Windows are enabled - this is particularly important for notebook users.On some PCs communication via the PC's ports does not suspend the power saving functions and this results in the PC not accepting data sent by the fax device to the PC fast enough with the result that reception and scanning operations regularly fail.

Under Windows 95 you may find that Power Management functions can be controlled via:

Start, Settings, Control Panel, Power

Sometimes merely changing from Advanced to Standard is sufficient to resolve the problems receiving and scanning - this is know to be the case with some Sharp notebooks.

IBM Thinkpad - Problems communicating via COM port

If Unimessage Pro complains that the Port is not available or in use when installing a serial fax device on an IBM ThinkPad, the problem is due to the fact that the Power Management functions provided by the IBM Thinkpad effectively disable the external serial port by default.

Before Unimessage Pro will work correctly the external port has to be specifically enabled. This is done via the ThinkPad Setup program which can be found in Start, Programs, ThinkPad Setup on Windows9x.

Prohibiting the transmission of faxes to specific numbers

The Unimessage Pro Scheduler can be configured to prohibit the transmission of faxes either to specific numbers or, more usually, to all numbers starting with a specific sequence of characters.

Such prohibited numbers are defined in the text file SCHED.DFT, which is stored in the main Unimessage Pro folder, by the following parameter:

PROHIBITED_NUMBERS = "/100- /15_ /192 999-"

In the above:

  • The "-" symbol indicates that any number starting with the preceding digits should be prohibited. For example 9991, 9992 and 999 would all be prohibited.
  • The "_" symbol indicates that any number starting with the preceding digits should be prohibited as long as it is followed by at least one more digit. For example, 151, 152 and 153 would be prohibited but 15 would not be prohibited.
  • If a number is prefixed by the "/" character then calls to numbers starting with the "/" will be allowed (as it is assumed that the "/" will suppress any automatic preamble assigned to the device, which might obtain an outside line). For example, 100 would be prohibited but /100 would not.

If the parameter is omitted from SCHED.DFT then the above prohibitions will be applied, to tell the Scheduler not to prohibit fax transmissions to any numbers you should set:

PROHIBITED_NUMBERS = ""

Using the Bonus macros with Microsoft Office 2000

When installing the Unimessage Pro Word or Excel macros under Microsoft Office 2000, you may get a message saying macros are disabled. This is due to the security level set for macros within Word2000 and Excel2000. To correct this, please follow these steps:

  • In Word 2000 or Excel 2000, select the Tools, Macros, Security menu.
  • Select:
    • Low: Macros will be used without any further prompting.
    • Medium: You will be asked each time you open a file that includes macros whether you want to enable the macros from this document.

    Then click the OK button.

  • Open the Unimessage Pro macro file, select to Enable Macros if prompted.
  • Reset the macro security level to its original setting using the Tools, Macros, Security menu.

Using Unimessage Pro with WordPerfect for Windows

When printing from WordPerfect to Unimessage Pro you must set the resolution within WordPerfect to 'Draft'.

If this is not set, then the resolution set within the printer driver will be ignored and a fax will be created using the maximum possible resolution which is normally 400dpi. This can result in the printout/fax failing with the error resolution not supported if the fax device being used does not support this resolution.

This issue has been reported with WordPerfect 6 and WordPerfect/Office 7.0.2, but may also be the case with other versions.

Using Unimessage Pro with Word 97 or later

Using the default setting within Word, when printing tables the text within the table can be misaligned. The solution is to alter the compatibility options within Word:

  • In Word, select the Tools, Options menu.
  • Select the Compatibility tab.
  • Tick the Use printer metrics to lay out document option.
  • Click the OK button.

The tables should now printout okay.

Unless you click the Default button on the Tools, Options, Compatibility dialog the option will be set for this document only.

Notes

This setting also effects whether embedded commands included in documents printed from Microsoft Word to the Unimessage Pro printer work. When using embedded commands in documents printed from Microsoft Word always select the Use printer metrics to lay out document option on the Tools, Options, Compatibility dialog.

This setting is also required for Unimessage Pro's embedded commands to work correctly with Word97/Word2000. For more information on using embedded commands download "Unimessage Pro Embedded Commands Information" from the download page.

Using the Unimessage Pro "Commands" font with MS Word and Lotus Word Pro, etc

For the Unimessage Pro Commands font to be included in the list of available fonts you must have the Unimessage Pro printer selected. This is because Commands is a printer font and Windows only presents it when the appropriate printer is selected.

When using the Unimessage Pro Commands font with MS Word and Lotus Word Pro you must make sure you also set the point size for the font as well. There is only one point size available - 12 point. If you don't select this specific point size Windows may substitute the TrueType Courier New instead and this will not work for embedded commands.

This problem may not be just restricted to MS Word or Lotus Word Pro though many other applications set the change the font size to 12 point automatically when the Commands font is selected thereby avoiding the issue.

Also when using the Commands font, you must make sure that the character spacing is set to 'normal'. If this is not done the word processor will insert spaces between the characters which could result in unpredictable results. You must also make sure the text is 'left justified' otherwise you could get unpredictable results such as the command being ignored. This has been found to be the case in Lotus 1-2-3.

Config.sys and Autoexec.bat setting for Unimessage Pro on Windows 9x

With in the C:\CONFIG.SYS and C:\AUTOEXEC.BAT there are a number of requirements for Unimessage Pro to work correctly.

Within CONFIG.SYS you must have FILES set to at least 40 minimum. We would recommend setting it to at least 90 especially on PCs running the scheduler and device drivers.

Within AUTOEXEC.BAT you must make sure the TEMP variable is defined and that the path is no longer than 20 character.

Internal Fax Modems when COM1 & 2 already installed

If you are using an internal Class 1 or Class 2 fax modem it will normally be supplied configured to replace an existing COM2. If the computer already has COM2 fitted but it is not used then it must be disabled before the internal modem will function correctly - refer to the manual supplied with the computer or serial port, if in doubt contact the supplier of the computer for assistance.

If COM2 is already fitted and is used, meaning that you cannot disable it, then consult the manual supplied with the internal modem - many internal modems will allow you to reconfigure the serial port which they "pretend" to be connected to. However, since COM1 and COM3 share the same IRQ by default, as do COM2 and COM4, you should attempt to select another unused IRQ for the internal modem.

Example

If you modem can be configured to "pretend" to be COM1, COM2, COM3 or COM4 then select the first unused serial port - frequently COM3. You should then override the default IRQ assigned to COM3 (IRQ=4) since this is already used by COM1.

To assist a list of the IRQs which many internal modems can select is shown below together with the normal usage:

IRQ1: Reserved (Do not use)
IRQ2: Miscellaneous
IRQ3: COM2
IRQ4: COM1
IRQ5: LPT2, Sound card or other
IRQ6: Floppy Disk (Do not use)
IRQ7: LPT1
IRQ8: Real Time Clock (Do not use)

IRQ12: PS/2 Mouse
IRQ13: Reserved (Do not use)
IRQ14: IDE 0 (Do not use)
IRQ15: IDE 1

Frequently the only IRQs not already used are IRQ2 and IRQ5, though be careful if a network adapter is already installed since this may use one of these.

Having decided which IRQ you are going to use, perhaps IRQ5, configure the internal modem accordingly and insert it into the PC then install Unimessage Pro selecting the appropriate COM port.

Once Unimessage Pro is installed select Control Panel, Ports, Com#, Settings and Advanced where you can configure Windows so that it knows the IRQ your assigned to the internal modem and Unimessage Pro will then be able to talk to it.

If you experience problems communicating with the modem using Unimessage Pro try using Windows HyperTerminal to check that the modem responds "OK" to the command "ATZ". If this does not work retrace your steps, perhaps you did not configure the port in Windows to use the same IRQ and address as selected on the internal modem.

Setting up a Xerox WorkCentre for use with Unimessage Pro

Why does Unimessage Pro show only COM ports when the Xerox WorkCentre wants a LPT port?

To use the Xerox WorkCentre with Unimessage Pro you must first install the Xerox port re-director software (PC Fax) and have it running when you start Unimessage Pro. This utility software will present create a virtual COM port that you then select in Unimessage Pro as though the Xerox WorkCentre was actually connected to the COM port. Normally this port is COM3 for Windows 9x and COM8 for Windows NT.

The Xerox port re-director software (PC Fax) should be on the CD supplied with the fax machine. If you have any problems with the port-redirector or the software supplied with the Xerox WorkCentre please contact the Xerox help desk.

Fax devices connected to LPT with a dongle already fitted there

When fitting a fax device to the LPT port, if there is a dongle already fitted to the LPT port it may interfere with the operation of the fax device. This usually shows up as Device not responding or connected when Unimessage Pro is started. The problem is due to the dongle not being able to support bi-directional parallel devices on its through port. The solution is to either remove the dongle or connect the fax device to an alternative LPT port.

How do I get to the main Unimessage Pro screen?

On the bottom left hand corner of the "Welcome to Unimessage Pro" screen is the Unimessage Logo. Click logo (or the Browse Folders button) to switch to the main Unimessage Pro display.

How do I turn off the "Welcome to Unimessage Pro" screen?

To switch off the Welcome screen, so Unimessage Pro always starts up in the main screen, do the following:

  • If the "Welcome to Unimessage Pro" screen is displayed, click Browse Folders.
  • Select the Setup, Program menu.
  • Click the Application tab.
  • Clear the Show Welcome Screen option.
  • Click the OK button.
  • Select the Setup, Save Settings Now menu.

The next time you start Unimessage Pro, you will go straight to the main Unimessage Pro display.

How do I set up email?

The steps to set up an email client are:

  • If you are going to use a modem to connect to the Internet you must first setup a connection using Windows DialUp Networking. Information on how to do this is normally provided by your Internet Service Provider. Then, in Unimessage Pro:
  • Define the SMTP and POP3 server name(s):
  • Select the Setup, Email menu.
  • Click the Server tab.
  • Click the Add button to enter your email servers.

If the email server is the same for incoming and outgoing, you can choose the Both radio button when typing in the address. If not, you will need to add them separately.

  • Click the OK button.

  • Repeat this process until all SMTP and POP3 servers are defined.

  • Click the OK button to close the Setup, Email dialog. Note: It is important that you close the dialog after defining SMTP and POP3 servers before continuing, don’t be tempted to continue without closing the dialog.

  • Define the email account(s):

  • Select the Setup, Email menu.

  • Click the Accounts tab.

  • Click the Add button to start defining an email account.

  • Enter all of the relevant information for each tab, ensuring that you choose the proper mail servers.

  • Click the OK button to close the new email accounts properties dialog.

  • Repeat this process until all email accounts are defined.

  • Define the email device driver to be used to connect to the required SMTP and POP3 servers to send and receive the email messages:

  • Select the File, New, Device menu.

  • Unimessage will ask if you have a Permanent connection.

If you have LAN or other permanent connection to the Internet through which you can reach the SMTP and POP3 email servers, choose Yes. If you use using a modem to connect to the Internet, choose No.

If you said ’Yes’ then:

  • Enter a name, e.g. “LANMAIL”, for the device, then click Next.

  • Select which SMTP and POP3 servers can be reached via this connection, then click Next. Some ISPs require that you use specific Internet connections to reach their mail servers.

  • When asked if you have a modem or fax device connected, choose No.

If you said No then:

  • Select Yes, select device from list, then click Next. Select the appropriate device e.g. General drivers, Class 1 fax/data modem or Class 2 fax/data modem

then click Next. + When prompted, enter a name, e.g. “MODEM”, for the device, then click Next.

  • If you wish to use this device to send and receive faxes as well as email, select Yes and click Next, then answer the following screens as appropriate. To use the device only for sending and receiving emails, select No and click Next.
  • Select the COM port to which the modem is connected, then click Next.
  • When asked if you want to use this device to send and receive emails, select Yes then click Next.
  • Unimessage Pro will then show the list SMTP and POP3 servers defined earlier for each Windows Dial-Up configured on this PC to use the same COM port that this Unimessage Pro device driver is configured to use. Select which SMTP and POP3 servers can be reached via each Windows DialUp Networking Connection, then click Next. Some ISPs require that you use specific Internet connections to reach their mail servers.

Once you are done, you will need to start the device driver by selecting it and clicking the Start button (green light) on the Devices folder’s toolbar.

Phonebook import appears not to work

No matter which phonebook (Personal or Network) I try to import to, the contacts always go to just one of the phonebooks and not the other.

This was a problem in an early version of Unimessage Pro that has since been fixed. You can either upgrade to the latest version, or (after importing them) drag the phonebook contacts from the phonebook they’re imported into to the phonebook you want them in.

To stop this problem occurring, obtain a Unimessage Pro service pack from your supplier or (if you are using a standard, none OEM, copy of Unimessage Pro) from the download page.

No device to handle resolution when sending a fax

Not all fax devices can send or print all fax resolutions.

If you are getting this message, then you have the resolution of the document set to high, and the fax device you are using cannot handle the resolution.

Under the printer properties for the device, or Unimessage Pro, you will find a graphics tab where it will have a pull down menu for resolution. Try using a lower resolution.

Not all resolutions are listed when I go to scan?

On some Class 1 fax devices, only Standard will be listed in the pull down menu when you are preparing to scan. This setting will be ignored by the fax machine, because the resolution is set on the device. Before scanning, set the resolution at which you want to scan at the fax machine itself as though you were sending a fax, then click the OK button in the scan from fax machine dialog box in Unimessage Pro.

Sharp FO-6600 fax device is not responding to Unimessage Pro.

First, check to make sure that you have chosen the Sharp FO-4850 as your device within Unimessage Pro, and that it is connected to the proper port.

If that is the case and it is still not responding, then you may not have enabled the PC option on the Sharp FO-6600. To do this, you will need to set Function 4, option 32to option 1 on the fax machine itself.

Another copy of my device launches every time I try to print to fax device

This generally happens when auto answer is enabled on some fax devices. To resolve the problem:

  • Click on Devices in the left-hand Unimessage Pro folder tree.
  • Right-click on the appropriate device and select Open.
  • Clear the Auto Answer option.
  • Click OK to save the settings and close the dialog.
  • Use the Log out button (scissors) on the Devices folder's toolbar to log out the device.
  • Use the Start button (green light) on the Devices folder's toolbar to restart the device - changes made to the device driver's properties are only acted on when the device restarts.

How do I get the fax number in to the 'Fax:' field when sending a message?

When sending a quick fax or cover sheet, can I get the recipient's Company name to appear on my message? - yes

When compiling your message, place the recipient?Äôs name in the TO: field, then type the actual fax number in angle brackets i.e. < fax number >. This number will then appear in the FAX: field on your cover sheet.

To switch between 19,200 bps and 38,000 bps:

  • Press ENTER three times.
    LCD should show 'Service Mode #1'.
  • Press ENTER.

  • Cursor right until LCD shows 'Soft switch 13'.
  • Press ENTER.
  • Set:
    • Bit 1 = 0, for 19,200 bps.

User Specific email accounts

User Specific email accounts ‘belong’ to one specific Unimessage Pro user. Any email messages retrieved using a user specific email account are moved directly into the appropriate user’s Received items folder. They do not pass through the Network Inbox. A Unimessage Pro user with User privileges sees only those email accounts that ‘belong’ to them, they can create more email accounts but can only use POP3 and SMTP servers already defined by Unimessage Pro Administrators.

System-wide email accounts

System-wide email accounts are only shown in the list of email accounts for Unimessage Pro Supervisors and Administrators who can use them to send email messages.

Any email messages retrieved from a POP3 email mailbox by a System-wide email account is added to the Network Inbox and can viewed by Unimessage Pro Supervisors and Administrators.

Printing Over a LAN (Local Area Network)

To use your MFP (Multi Function Peripheral) to print from another Unimessage Pro installation on the LAN:

  • At the PC that the MFP is connected to create a 'print' printer at the PC.
    • If using Windows 95/98, share the printer, then close and restart Unimessage Pro on this PC. (under Windows NT4, 2000 and XP the 'print' printer is automatically shared).
  • At the other LAN PCs - install and then start the Unimessage Pro network client.
    • Open the 'Devices' folder.
    • Right-click on the appropriate device and select Create Printer.

Unimessage Pro: How do I use Embedded Commands?


Unimessage Pro, like LaserFAX 3.5, Unimessage Basic and Sopwith, allows you to embed commands within your text to automate and make faster the submission of messages and allow users to bypass the UniPad editor whenever they want to create a message from a Windows application.

Each individual embedded command needs to be enclosed in double square brackets, i.e. [[ ]], and must be printed in the Commands font at 12 point size which is only available when the Unimessage Pro printer is selected. The process is, in outline, as follows:

  1. Load your word processor (or other application).
  2. Select the Unimessage Pro printer and enter your text.
  3. Select the Unimessage Pro Commands font in 12pt whenever you enter Unimessage Pro commands - the rest of your text can use any of the thousands of different TrueType fonts that may be available on your PC.
  4. The [[TO=]] command is used to tell Unimessage Pro where you want to send the message. e.g. To send the message to a fax number "123456" type: [[TO=123456]] In order to send a message to a Phonebook recipient use: [[TO=John Watkins]] If Unimessage Pro cannot find a matching contact or distribution list it will prompt you.
  5. If you want to review the fax message before it is sent, include the "HOLD" embedded command anywhere in the document: [[HOLD]].
  6. Select your standard font and enter the text you wish to send.
  7. Print the document to the "Unimessage Pro" printer driver.
  8. If you have not included the "HOLD" command and a device is available, transmission will take place immediately.

How do I upgrade Unimessage Pro?

You can upgrade Unimessage Pro’s licence for several reasons, including:

  1. To add features. For example, email functions, UniSave, OCR and the Gateway option are not included in all Unimessage Pro configurations.
  2. To support multiple or an increased number of users on a Local Area Network, up to a practical maximum of 250.
  3. To support additional devices, up to a maximum of 30.
  4. To add support for the Gateway function.
  5. To add support for the UniSave function.
  6. To add support for I-netportal compatible LAN MFPs.
  7. To add support for CAPI 2.0 compatible ISDN fax cards.

How do I send a quick message?

  1. Click on the New toolbar button to open the Unimessage Pro message editor - UniPad.
  2. Add the recipient's address (fax number or email address) in the To: field (or use the phonebook) - if you enter more than one recipient, use semi-colon (;) between each one.
  3. Complete the Subject field.
  4. Add the text of the message.
  5. Click on the Send button in the message editor toolbar.

Hint

If you press ENTER while typing into the To, Cc or Bcc address fields UniPad will insert a semi-colon (;) to separate the addresses.

How do I see a fax or email being sent?

Depending on your version of Unimessage Pro, the fax and/or email drivers may be minimised in the Windows task bar (next t the Windows "Start" button) at the foot of the screen or in your Windows System Tray (next to the Windows clock).

Double-click on them to display what they are doing. If they are not visible, you can follow progress of the transmission in the Outbox.

How do I create a permanent copy of a message?

Messages sent will be added to the Sent Items folder after they have been sent, unless you do either of the following:

  • You clear the Save in “Sent items” on successful transmission option on the After Sending of the Setup, Send dialog.
  • Define a User Routing Rule to do something else via the Setup, Routing Rule menu.

Notes

The Sent Items folder can get very full if you send a lot of messages. Consider using the option to automatically delete items older than a selectable number of days from this (or any other folder) on starting Unimessage Pro.

How do I create a new Unimessage Pro user?

  1. Select the File, New, User menu.
  2. Enter a Unimessage Pro user name (up to 8 characters).
  3. Enter a log-on password if one is required.
  4. Enter the full name of the user (up to 60 characters).
  5. Define the type of user: Administrator, Supervisor or User.
  6. Define the type of calls allowed.
  7. Optionally use the Advanced tab to set maximum priorities for polling and sending messages.
  8. Click OK.
Note, that only a Supervisor or Administrator perform the above steps.

How do I create a distribution list for broadcasting?

  1. Select the Setup, Distribution lists menu.
  2. To create a new distribution list, click the New button.
  3. To edit an existing distribution list, select the existing distribution list from the drop down list.

  4. Enter a short name and description for the list.
  5. Select entries from your phonebook, from other distribution lists or from the list of Unimessage Pro users (on a network) and transfer them to the "Members of the distribution list" using the To, Cc and Bcc buttons as appropriate.
  6. Hint: Hold the Ctrl key down while selecting multiple entries in the left-hand list before clicking the To, Cc or Bcc button to add several contacts at one time.

  7. Click OK when you have finished.

You can mix email, fax and Unimessage User recipients.

How do I change/remove the cover sheets in Unimessage

All the cover sheets included with Unimessage Pro include a slogan that reads: "Cover sheet supplied with Unimessage Pro by Wordcraft International Ltd". To change or remove this slogan use the following procedure:

  1. Select the Setup, Fax menu.
  2. Select the Cover Sheet tab.
  3. Select the cover sheet you want to edit from the list provided.
  4. Click the View button.
  5. Pan and zoom the image until you see the slogan, which may be at the top or bottom of the cover sheet depending on the specific cover sheet you are editing.
  6. Right-click on the slogan and select Properties from the menu.
  7. Either: select all the displayed text and change it to whatever slogan you want or select all the displayed text and press SPACE to replace it with a single SPACE character.
  8. Click the OK button.
  9. In UniPad, either select the 'File', 'Save as' menu if you want to save the amended cover sheet separately leaving the original available, or the 'File', 'Save' menu if you want to replace the original file.
  10. Close UniPad.

How do I change the settings for a device?

  • Open the Devices folder by clicking its name in the Unimessage Pro folder tree.
  • Double-click on the device.
  • Adjust the settings on the dialog that is then displayed as required and click OK when finished.

Notes

  • Changes made will not become active until the device is next started.

How do I change my Unimessage Pro login password

When logged into Unimessage Pro as the user for whom you want to change the login password:

  1. Select the Setup, Program menu.
  2. Select the User tab.
  3. Type your new password into both the Password and Verify password boxes - the second is present to make sure that you don't make a typing mistake.
  4. Click the OK button.

How do I add a device?

  1. Select the File, New, Device menu.
  2. Follow the wizard's instructions.

How can I route a received message

  1. View it, decide who it is for, select Forward and key in the Unimessage Pro user's name and click Send.
  2. Unimessage Pro will add the message to the recipient's Received Items folder and notify them that the message has been routed to them the next time they use Unimessage Pro.

Remember, there are other ways of automatically routing messages to recipients.

Unimessage Pro spell checker does not check Spanish words

Spell checker in Unimessage Pro (Spanish) may not check Spanish words, this is because the Spanish spelling dictionary supplied with Unimessage Pro is named spellESP.LEX, however the program expects it to be called spellESN.LEX. This causes the spelling checker to default to English for the spell checker hence why it rejects Spanish word.

The solution is to copy the file spellESP.LEX to spellESN.LEX in the main Unimessage Pro directory and then restart Unimessage Pro.

How do I Scan a document?

  • Click the Scan button.
  • Put your document into your device.
  • Select the your MFP device (some people may have more than one MFP attached) from Select Source., click Select when done.
  • Click Scan.

How do I leave a copy of my email on the server?

  • Start Unimessage Pro.
  • If the "Welcome to Unimessage Pro" screen appears, click "Browse Folders".
  • From the left-hand Unimessage Pro folder tree select Email Accounts to open the folder in the right-hand pane.
  • Locate the appropriate email account, right-click on it and select Open.
  • Select the Advanced tab.
  • In the Delivery Options section, tick the Leave a copy on the server option.
  • Click OK.

How do I find a specific message?

  • Either:
    • Click the Find button on the main Unimessage Pro toolbar to search folders in the Personal Folders section of the Unimessage Pro folder tree.
    • Open a folder then click the Find button on the folder's toolbar to search within that folder.
    • Right-click a folder's name in the left-hand folder tree and select Find.
  • Select the Criteria that messages should be compared against.
  • Tick or clear the Include subfolders option.
  • Click OK.

Notes

  • The contents of the following system folders will not be processed and you are therefore not recommended to file items in these folders:
    • Outbox
    • Send log
    • Phonebook
    • Polling list
    • Devices
    • Users
    • Email accounts
    • Network Outbox
    • Network Inbox
    • Network print queue
    • Network Phonebook
    • Network Polling list

    If you want to search any system folders, open the folder and click the Find button on the folder's toolbar.

How do I print my messages?

  • Click on the message you want to print.
  • Either:
    • Click the Print button on the folder's toolbar.
    • Select the File, Print menu.

How do I receive a fax to the MFP?

  • Open the Devices folder.
  • Right-click on the appropriate device and select Properties.
  • Clear the Auto Answer option.
  • Click OK to save the settings and close the dialog.
  • Use the Log out button (scissors) on the Devices folder's toolbar to log out the device.
  • Use the Start button (green light) on the Devices folder's toolbar to restart the device - changes made to the device driver's properties are only acted on when the device restarts.

Notes

  • Some devices have to be configured not to forward received faxes to the PC, consult the documentation provided with your fax device for further details.

How do I delete phonebook contacts?

  • Click on Phonebook or Network Phonebook in the left-hand Unimessage Pro folder tree.
  • Either:
    • Right-click the contact with your mouse and select Delete
    • Click on the contact, then press the Delete key on the keyboard.
    • Click on the contact, then click the Delete button on the folder's toolbar.
  • Click Yes if you are sure you wish to delete entry.

Notes:

  • To select and then delete multiple contacts at one, either:
    • Hold the Ctrl key down on the keyboard while you click on the separate contacts.
    • To quickly select a consecutive number of contacts, click the first then press and hold down the SHIFT key on your keyboard while you click the last contact.
  • If you delete a selection by mistake, it is sent to the Deleted Items folder and can still be recovered.
  • If you press and hold the SHIFT key down while deleting contacts using any of the above methods the contact will be completely deleted - it will not be moved to the Deleted Items folder. Us this option carefully, you cannot undo it.

How do I OCR my document?

By using the OCR (Optical Character Recognition) function within Unimessage Pro it is possible to convert a document into a text file so it can be edited in a word processor.

You can OCR your document from several Folders (Deleted Items, Received Items, Sent Items, Draft and any folders you have created yourself.)

  • From Unimessage Pro's left-hand folder tree, select a Folder that contains the document you wish to OCR.
  • In the folder now open in Unimessage Pro's right-hand pane, select the document.
  • Click the OCR button on the folder's toolbar.

Alternatively:

  • Either:
    • Scan in a document.
    • Then select the View it option and click OK.

    • Open an existing image in Unimessage Pro's UniPad viewer.
  • Click the OCR button on UniPad's toolbar.
  • Select the OCR shortcut in the shortcut bar at the bottom of UniPad's window.
  • Use the File, Save as menu to store the OCR text separately for processing in another application.

Turning on PC Fax answer on the Toshiba TF610

To turn on PC fax answer in the Toshiba TF610:

  1. Press the ARROW UP button in the menu field.
    Display shows "Program setup data".
  2. Two times the START button.
    Display shows "Parameter number =".
  3. Enter 46 then press ENTER.
  4. Press the ARROW UP button then ENTER.
  5. Press one times STOP.

"Commands" font not shown

First check that the "Unimessage Pro" or "P3 Printer" printer is selected - "Commands" is a printer font which means it is only available when the printer it belongs to is selected in an application. Many Windows applications allow you to select a printer other than the default via the File, Page Setup menu using a Printer button. Word is slightly different; select the File, Print menu, select the appropriate printer from the drop down list then click the Close button to close the dialog with the newly selected printer active.

If the "Commands" printer font still isn't shown, it is possible that Windows is configured only to show TrueType fonts. You can change this by editing the registry - but take care if you do so because incorrect changes made to the registry can severely effect Windows. The procedure is as follows:

  • Click the Windows Start button, then the Run menu option.
  • Type REGEDIT and press ENTER.
  • The Registry Editor will now open, in the left-hand pane click the "+" symbols to the left of each branch name to browse to the following branch:
  • HKEY_CURRENT_USER\Software\Microsoft\Windows NT\CurrentVersion\TrueType

  • With the above mentioned "TrueType" branch selected, look in the right-hand pane for an entry "TTOnly" and double-click on it to change its value:
    • Value=1 means shown only TrueType fonts
    • Value=0 means show all fonts, this is the value required to cause Windows to show the "Commands" font

    Click the OK button.

  • Select the File, Exit menu to close the Registry Editor.
  • Restart Windows to ensure the change takes effect.

SPOOL32 caused an invalid page fault in module MFC42D.DLL on Windows 9x

This occurs when the Brother Resource Manager installs a file called LMONSTR.DLL into the Windows\System folder. Normally it does nothing, but if something also installs MFC42D.DLL and uses it then this file cause SPOOL32 to crash. The solution is to delete (or rename) the LMONSTR.DLL file and restart Windows 98.

Problems printing multi-worksheets from MS Excel97

It has been discovered that when printing several worksheets from Microsoft Excel 97, the application often splits the print job into several parts. This results in the printer driver being presented with several completely separate print jobs. When printing to a physical printer this is not normally a problem however when sending faxes, each separate print job is treated as a separate fax which can be a problem.

It would appear that there is a workaround solution within Excel 97 which is to select Print to File on the print dialog box. This appears to force Excel97 to produce only on print job for the complete printout so resulting in only one fax.

Problem detecting serial devices connected to fast PCs running NT4

If you have a problem detecting serial devices connected to fast PCs running NT4 - but the same PC was running Windows 9x then the detection worked fine. Then check the following:

  • Within the BIOS settings of the PC
    • Check the COM ports are not set to "auto". Set them to Address : 2f8h IRQ : 3 and Address : 3f8h IRQ : 4

Auto image reduction with Panafax UF744/788/550/770/880

It is possible to configure the above Panafax fax machines to reduce fax images automatically (if it receives a page bigger than A4 it will automatically reduce it) or by a fixed ratio. To set no reduction, try selecting Fixed size reduction of 100%.

These options are set through fax parameters #24 and #25 on the fax machine, as follows:

# Press "Function" button.

# Press "74".

# Press "Set" button.

# Enter fax parameter number (24 for Print Reduction Mode and 25 for Print Reduction Ratio)

* For fax parameter number 24: Select "1: Fixed" or "2: Auto" - in this case "1: Fixed".

* For fax parameter number 25, if parameter 214 is set =Fixed: Select required percentage, i.e. 100%.
